The Purpose The Sales and Marketing Coordinator assists in coordinating inquiries, tours, and admissions in order to assure resident and family satisfaction.

Essential Functions- Job Duties Identifies and screens prospective residents in both the acute and sub-acute community settings and respond to inquiries by potential residents, family, or placement agencies. Follows up on all referrals/inquiries for perspective residents in a timely manner. Coordinates internal and external sales processes consistent and aligned with the River Oaks marketing plan. Collaborates with the marketing team to identify improvements and develop solutions to address occupancy challenges. Schedules and handles all tours, meets with potential residents and their families to determine needs, provide solutions, overcome objections, and plan for move-in. Checks available room prior to tours for their presentability. Works with Director of Wellness and Executive Director to ensure appropriateness of admissions. Works with residents and families on the beginning stage of admission process to ensure efficiency of addressing their needs. Responsible for all census development and maintains census requirements as defined by budget. Communicates with Executive Director, daily, regarding census, referrals, and admissions. Acts as liaison between River Oaks and family members during the pre-admission and admission process. Upon admission, refers family members to appropriate Department Manager depending on specific need. Provides move-in and new resident information to appropriate team members. Responsible to ensure the completion of admission paperwork with the responsible party, family member, power of attorney or resident upon admission. Ensures the admission packet is completed in a timely manner (within 24 hours of admission) and that all forms are presented in a neat and organized manner. Prepares, maintains, and updates admissions forms packet and instruction booklet for staff to use. Develops and maintains effective professional relationships with hospital discharge personnel, Executive Directors, other healthcare centers, physicians, clinics, rehabilitation centers and home care agencies. Responsible to determine details which need to be accomplished to re-market the room (ex. walls patched and painted, carpet cleaned, curtains cleaned.) Works with Maintenance staff to see that repairs are finished in a timely manner. Assists and completes other projects as assigned by Executive Director and Operations Director.

Secondary Functions- Job Duties Attend and participates all meetings including marketing meetings, staff meetings, projects, special events, committees, and mandatory training as appropriate. Maintains knowledge of regulations and River Oaks standards to initiate and develop improved operations. Establishes and maintains relationships and contacts with various clubs, community organizations, and groups, give presentations as needed and act as representative of River Oaks. Assists in coordination of special events for River Oaks and the local community. Maintains professional affiliations and enhances professional growth and development, keeping abreast of latest trends. Follow all applicable state regulations.

Education & Knowledge Requirements Valid Driver’s License. High School Diploma or equivalent. Must be at least eighteen (18) years of age. Two (2) years’ experience in a customer service-oriented profession. Two (2) years directly related experience working with the admissions, marketing, and/or sales.

Essential Job-Related Experience/Abilities Ability to carry out admissions functions for a senior living environment. Working knowledge of referral process, reimbursement programs, personal care home regulations, admissions, and discharge procedures. Excellent customer service and speaking/presentation skills. Computer experience in Microsoft Excel, Word, and Outlook, etc. Ability to interpret complex standards and regulations and write concise reports and histories. Able to lift, bend, stoop, push, pull supplies, or furniture up to 50 pounds (may need to ask for assistance at times). Able to complete the functions necessary to transport a resident in a wheelchair.

Preferred Job-Related Experience/Abilities/Education Bachelor’s Degree in a related field of study or equivalent combination of education and directly related experience is preferred Basic understanding of medical conditions, medications, and functional status for the population related to skilled and rehabilitation services.
