This is an apprentice level position. Responsibilities
Administer assigned awards, including setup, modification, management, and closeout for contracts and grants in the assigned portfolio. Produce customized reports and queries; verify charges are appropriate; regularly update revenue status for each project; reconcile ledger groups; maintain project files with backup documentation. Communicate with PIs, departmental representatives, sponsor representatives, and other stakeholders to resolve problems, communicate changes, and provide guidance. Monitor awards for compliance with University, state, and federal rules and sponsor-imposed restrictions. Interpret award documents from federal, state, for-profit, and non-profit sponsors; determine award payment type and award type; establish billing and review schedules for proper administration. Review NOA and award profile for accuracy; communicate inconsistencies to DSP/department staff and ensure corrections; capture budget reallocation and closeout requirements and deliverable schedules. Prepare and submit invoices and financial reports; verify information and gather backup documentation as required by sponsors. Perform closeout activities, A/R audits, and ensure proper payments; close budgets and manage residual funds as needed; verify expenditures for allowability. Communicate status of encumbrances, generate final ledgers, and process budget transfers in the university financial system. Participate in trainings, process improvement initiatives, and regulatory reviews (OMB circulars and federal regulations). Perform collections activities for aging accounts; reconcile A/R and billing to determine past due amounts; escalate delinquent payments as needed. Qualifications
Level I: Bachelor’s degree in accounting, finance, business administration, or related field; or equivalent education/experience. Level II: Bachelor’s degree and one year of experience in contract and grant accounting; or equivalent education/experience. Excellent written and oral communication skills; customer service oriented. Knowledge of electronic research administration software preferred; ability to build and maintain working relationships with campus and funding agency representatives; ability to function under highly stressful circumstances.
