GIRL SCOUTS OF THE USA (GSUSA) is the preeminent leadership development organization for girls. GSUSA operates with 111 local councils across the country and USA Girl Scouts Overseas to deliver the Girl Scout Leadership Experience. Position Summary
The Facilities and Office Services Coordinator will report to the General Manager of the National Headquarters of Girl Scouts of the USA located in New York, NY. The role supports facilities-related tasks, mailroom operations, and general office duties to help maintain efficient operations at the National Headquarters. Responsibilities
Assist the General Manager with facilities-related tasks: scheduling preventive maintenance with vendors, maintaining certificates of insurance for vendors/contractors, requesting contract renewals, scheduling and coordinating repairs, interacting with building staff, and entering invoices in DocuSign with backup for review and approval. Lead mailroom operations: inbound mail sorting and distribution, outbound mail and package processing, tracking, and cost-effective shipping coordination (FedEx/USPS); develop standard operating procedures for mailroom operations; monitor quality assurance and key performance indicators; report mailroom metrics (inbound/outbound volumes and postage spend); serve as an expert on USPS policies for outbound mailings. Provide daily support tasks: conference room setup/breakdown, restock coffee/snacks/supplies, maintain equipment, and keep mailroom, supply room, and adjacent areas organized; assist with additional tasks as assigned; capacity to lift 30 pounds. Perform data entry, tracking, and reporting (e.g., invoices in DocuSign, track postage and FedEx costs, provide weekly maintenance reports for coffee machines). Other duties as needed, including light cleaning and calendar management. Essential Responsibilities
Track, manage, and process overnight packages; inbound/outbound mail sorting and processing; drop off at local FedEx/USPS facilities. Organize and maintain a clean mailroom, workstation, supply room, and storage areas. Manage copiers, fax machines, coffee machines; maintain an organized copy room and promptly report maintenance issues. Restock and maintain coffee machines and break areas. Assist with quality assurance tied to key performance metrics; serve as USPS policy expert for outbound mailings. Support the General Manager with scheduling preventive maintenance, insurance certificates, vendor contract renewals, repairs, building staff interactions, and clerical duties; data entry in DocuSign with backup for review. Data entry, tracking, and reporting responsibilities as described above. Light cleaning and other duties as assigned. Qualifications
Required Competencies Ability to read and comprehend instructions for shipping/receiving packages. Knowledge of computer operations. Physical stamina to lift 30-pound packages. Experience exercising judgment in prioritizing work. Knowledge of identifying and reporting safety problems. Ability to work within defined procedures established by National Properties. Required Technical Skills Computer skills; Office 365 proficiency (Word, PowerPoint, Excel). Education and Experience Minimum Years of Experience: 3 years in a professional environment. Salary Range: $50,000.00 - $55,000.00 (listed for reference). Benefits
