Overview Job Overview:

The IT Project Administrator plays a critical role in supporting the IT PMO’s strategic transformation initiatives, including the implementation of effort-based planning and enhanced reporting capabilities. This role ensures the continuity, accuracy, and scalability of project and portfolio management (PPM) systems, enabling data-driven decision-making across the IT organization. The IT PMO Administrator works closely with the IT PMO Manager and cross-functional teams to maintain operational excellence and support leadership visibility through robust analytics and reporting.

Responsibilities

PPM System Oversight:

Administer and maintain the IT PMO’s PPM tool (currently Prism), ensuring system reliability, usability, and data integrity.

Effort-Based Planning Support:

Provide logistical and technical support for the rollout and adoption of effort-based planning within Prism.

Reporting Management:

Develop, maintain, and enhance reporting outputs from the PPM system to support strategic planning and executive decision-making.

Data Analytics:

Analyze resource capacity and utilization data to inform staffing, prioritization, and forecasting decisions.

PMO Support:

Assist the IT PMO Manager with internal communications, team structure updates, and operational coordination.

PPM Transition Leadership:

Serve as the key resource for the transition from Prism to a new PPM platform (2026–2028). Conduct requirements gathering, ensuring continuity, stakeholder alignment, and successful migration.

Education & Experience Requirements

2–4 years of experience in IT systems administration or PMO support.

Proficiency in PPM tools such as Prism, MS Project, Clarity, or Planview.

Strong skills and experience with the Microsoft Suite of applications (Teams, Outlook, Word, Excel, Project, Visio, Planner, etc.).

Strong analytical skills and experience with reporting tools (Excel, Power BI, Power Platform).

Excellent communication and collaboration skills across technical and business teams.

Experience as an IT Project Manager - familiarity with Azure DevOps, and Wagile delivery methodologies.

Ability to work in a hybrid environment with flexibility for remote and in-office presence.
