This is a contract position through Healthcare Systems Staffing (the UTMB in-house staffing agency).
Responsibilities
Process noncompetitive requisitions and issue purchase orders in accordance with applicable rules and regulations using an online purchasing system.
Record, open, and tabulate invitations to bid using the online purchasing system.
Correspond with parties involved to ensure orders, payments, shipping, and deliveries are timely and correct.
Resolve discrepancies between purchase orders and invoices, delivery dates, delays, damages, and rejections.
Assist customers and suppliers in problem resolution and provide general information regarding purchasing policies, procedures, and processes.
Assist in outreach and educational programs related to Historically Underutilized Businesses.
Analyze financial data and initiate appropriate actions when necessary; facilitate resolution of customer issues.
Coordinate compliance with UTMB, State, and Federal rules and regulations.
Assist in the development of office record-keeping systems; data entry including creation, retrieval, and update of electronic files; verify data accuracy.
File and maintain purchasing documents (orders, bids, contracts, payment data, reports, correspondence) in accordance with current Record Retention Schedule.
Compile data for necessary reports and interact with people at various levels inside and outside the process area.
Handle routine inquiries regarding policies, procedures, and operations of the process area; support team process changes and new programs.
Ensure compliance with UTMB, State, and Federal rules and regulations.
Perform miscellaneous clerical duties (e.g., answering phones, copying, filing, faxing, maintaining area bulletin boards) and report service/process outcomes.
Stay current with applicable laws, rules, regulations, policies, and procedures; adhere to internal controls and reporting structures.
Qualifications
Required Education / Experience:
High School Diploma or equivalent plus 2 years of work experience in an office environment.
Knowledge, Skills and Abilities:
Basic accounting skills; working knowledge of a personal computer; telephone professionalism and etiquette; good organizational skills; ability to create documents using word-processing, database, and spreadsheet software packages (e.g., MS Word, Access, Excel); good proofreading and verbal communication skills; basic problem resolution and time management skills.
