Public Safety Records Specialist

Tularosa Basin Regional Dispatch Authority The Public Safety Records Specialist is responsible for the accurate management, processing, and release of public safety records in compliance with all applicable local, state, and federal regulations. This position supports the development of a Joint Records Division between TBRDA, the Otero County Sheriff’s Office, Emergency Services, and the Detention Center. The role is designed to improve efficiency, accuracy, and consistency in records management while enhancing service to the public and partner agencies. Requirements
High School Diploma or equivalent. Must be eighteen (18) year of age Must successfully pass an extensive background investigation including national fingerprint records check. Must possess a valid driver license and have access to a motor vehicle (personal or agency) on an as needed daily basis. Strong organizational skills and attention to detail. Prior experience in records management, clerical services, or public safety support preferred. Essential Functions
Receive, review, and process records requests in accordance with legal and agency requirements. Conducts quality control by reviewing entries and making necessary corrections. Provides duplication of dispatch records, including telephone and radio recordings and CAD logs as requested by various agencies. Maintain accurate and organized records within both electronic and paper-based systems. Provide timely assistance to the public, legal representatives, courts, and partner agencies. Represents TBRDA at court hearings and depositions in order to validate dispatch records. Assist in the consolidation and transition of records management across multiple agencies. Prepare reports, statistics, and summaries as requested. Represents TBRDA to local and state agencies. Deliver excellent customer service while safeguarding confidentiality and sensitive information. Operates a TBRDA vehicle in performance of duties. Performs other job-related duties as assigned. Knowledge, Skills, and Abilities
Knowledge
Microsoft Office Suite or related software; modern office practices and procedures; Computer-Aided Dispatch (CAD) system and other 911 protocol software such as Emergency Medical Dispatch (EMD), Law Enforcement Dispatch (LED) and Fire Dispatch (FD); E-911 and Public Safety Dispatch systems, operations, and policies and procedures. Must be knowledgeable in NCIC rules, regulations, and operating procedures. Knowledge of New Mexico’s Inspection of Public Records Act (IPRA) is preferred. Previous experience operating recording equipment is desirable. Skills

Physical Demands
The work is typically an office environment and may require exerting up 25 pounds of force occasionally, and/or up to 25 pounds of force to move objects. While performing the duties of the job, the employee is regularly required to talk or hear. The employee frequently is required to use hand to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stand and walk, stoop, and bend. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Seniority level
