FOOD & BEVERAGE COORDINATOR Primary Responsibilities:
Oversee and direct all administrative aspects of the food and beverage office. Assist the F&B team (Executive Chef/Sous Chefs and F&B Managers) with all office duties, schedules, food/beverage orders, vendor communication, payroll, menus, and more.
Compose, prepare, distribute and file correspondence, reports and other documents relating to F&B.
Create, produce and maintain promotional items (i.e. brochures, menus, coupons, flyers and sales kits) for all food and beverage outlets.
Refer phone calls or written correspondence to the appropriate F&B personnel for response.
Assist in preparing the annual operating and CIP budget.
Assist restaurant managers and Executive Chef/Sous Chefs in verifying or preparing payroll information.
Provide clerical support to Executive Chef/Sous Chefs and F&B Managers.
Prepare reports as directed.
Respond and resolve guest or employee concerns in a timely manner.
Department coordinator for employee activities, charity fundraisers and other resort events.
Ensure all necessary correspondence, bulletins, reports and other information is distributed to F&B team.
Assist in coordinating and overseeing special events.
Take and transcribe minutes of department or resort meetings as requested.
Perform other related duties as assigned or required.
Other Duties:
Maintain an adequate stock of office supplies, forms and other collateral; update forms for printing.
Sort and distribute all incoming and outgoing mail and correspondence.
Meet with Executive Chef or Executive Sous Chefs to review daily operations.
Oversee the cleanliness and maintenance of the food and beverage office and equipment.
Working Conditions:
Normal office conditions.
Food and Beverage outlets.
Kitchen noises; people talking in loud voice; pots, pans, cleaning equipment operating.
Work Hours:
Must be able to work schedule set by the Executive Chef.
Must be able to work in excess of 40 hours per week if required.
Equipment Use:
Proficient in the use of a computer and with the resort’s word, spreadsheet and other required software including but not limited to Microsoft Office, PowerPoint and Excel.
Ability to use various office equipment including but not limited to telephones, calculators, photocopiers and facsimile machines.
Mental and Physical Demands:
Ability to prioritize and organize workload to ensure deadlines are met.
Ability to multi task and work in a fast paced environment.
Ability to manage stressful and challenging situations.
Ability to sit at a desk for a minimum of 8 hours to do administrative duties.
Ability to stand and walk to food and beverage outlets.
Require initiative to anticipate the needs of the F&B team.
Lift and carry up to 10lbs.
Communication Demands:
Ability to speak, read and write proficiently in the English language.
Ability to write department memos; train on standard operating procedures, etc.
High school graduate or equivalent.
Efficient in the use of the computer and hotel software.
Department of Health TB clearance.
Previously related work experience preferred.
