Executive Assistant Opportunity

The Executive Assistant provides high-level administrative support to the Executive Director, Leadership Team, and key external partners. This role ensures the smooth operation of executive functions through professional communication, meeting coordination, contract and records management, and strategic administrative support. The position requires discretion, excellent judgment, and the ability to manage sensitive and confidential information.

Compensation and Benefits

  • Starting pay range: $23.92 to $26.05 per hour based on education and experience.
  • Full‑time, in person, weekdays 8:00 am – 4:30 pm.
  • PTO, paid holidays, health, dental, vision insurance; on‑site bistro and cafeteria; employee assistance program; newly updated facility.
  • Eligible for the Wisconsin Retirement System (WRS), a hybrid defined benefit plan. Staff contribute 6.95%, matched 100% by NCHC each pay period.

What Qualifies You

Required

  • High School diploma or equivalent.
  • More than 3 years’ experience in an administrative role.
  • Valid WI driver’s license and personal vehicle.
  • Excellent oral and written communication skills.
  • Advanced proficiency with Microsoft Office Suite.

Preferred

  • Associate’s degree in Administrative Support or related field.
  • Experience supporting executives, boards, or public entities.
  • Licensed Wisconsin Notary Public, or ability to obtain license.

Responsibilities

  • Serve as primary administrative support to the Executive Director, coordinating priorities, schedules, and communications.
  • Coordinate and prepare materials for Executive Committee meetings, ensuring compliance with public notice and record requirements.
  • Support strategic initiatives, community partnerships, and communications on behalf of the Executive Director.
  • Coordinate logistics and materials for meetings with local, county, and state officials, legislators, and external stakeholders.
  • Prepare agendas, reports, presentations, and related materials; schedule meeting rooms and appointments; screen visitors and meeting requests.
  • Maintain accurate meeting logistics and documentation, including minutes, meeting records, and effective communication.
  • Manage calendars, schedule meetings, triage meeting requests for the Executive Director and the Leadership Team.
  • Liaison between the Executive Director’s office and internal departments to ensure timely follow‑through on action items.
  • Support organizational contract processing from request through execution, including scanning, data entry, routing for signatures, and tracking renewal timelines.
  • Maintain digital records and dashboards for organizational licenses, certifications, waivers, and surveys.
  • Manage daily administrative operations by opening, sorting, and distributing mail; ordering office supplies for the Senior Leadership Team; and assisting with overall office organization.
  • Organize purchase orders, invoices, and both paper and digital administrative files.
  • Ensure compliance with record retention policies and Joint Commission standards.
  • Plan and coordinate leadership and employee update sessions, public meetings, community presentations, and special events.
  • Troubleshoot technology and logistics issues during high‑visibility meetings.
  • Provide exceptional service to internal and external stakeholders.
  • Maintain strict confidentiality of sensitive information.
  • Perform other duties as assigned to support executive and organizational priorities.
