Addison Group is partnering with our client, a highly regarded professional services organization in Midtown Manhattan, to identify an experienced and poised Executive Assistant to provide high-level administrative support to multiple senior executives. Job Description:

The Executive Assistant will serve as a key point of contact for C‑suite executives, managing calendars, meetings, travel, and confidential correspondence. This role requires exceptional organizational skills, strong judgment, and the ability to thrive in a professional and fast‑moving environment.

Key Responsibilities

  • Manage multiple executive calendars, scheduling meetings and coordinating logistics efficiently.
  • Prepare and organize meeting materials, including agendas, briefings, and follow‑up notes.
  • Arrange complex domestic and international travel, including accommodations and itineraries.
  • Track tasks and follow‑up items to ensure timely completion and communication of next steps.
  • Handle confidential information with discretion and maintain a professional, polished demeanor.
  • Draft, proofread, and edit correspondence, memos, and reports.
  • Process expense reports and track reimbursements accurately.
  • Provide occasional back‑up support to the broader administrative team as needed.

Qualifications

  • Bachelor’s degree preferred; additional experience may substitute for formal education.
  • 5+ years of executive‑level administrative experience within a corporate or professional services environment.
  • Advanced proficiency in Microsoft Office 365 (Outlook, Excel, Word, PowerPoint).
  • Proven ability to manage competing priorities and adapt quickly to changing needs.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and a poised, polished professional presence.
  • Ability to handle sensitive and confidential information with discretion.
  • Schedule: Monday–Friday, standard business hours (flexibility required for executive needs).
  • Work Environment: Hybrid – 4 days onsite in Midtown Manhattan, 1 day remote (typically Fridays).
  • Hours per Week: 40 (eligible for overtime).
