Overview

Under the supervision of the Nursing Director and as a member of the Unit Based Patient Care Team, the unit secretary performs a wide range of secretarial duties and coordinates unit / floor procedures to ensure professional and efficient operation of the department in providing quality patient care. This includes answering unit phones, coordinating with health care team members and other departments, scheduling patient tests and appointments, maintaining medical records, initiating and tracking unit requests, and coordinating discharges, transfers, and admissions to assure efficient operation and resource management. The role provides indirect patient family centered care appropriate to the age of the patients on the assigned unit.

Responsibilities

  • Provision of a Safe Environment : assist in maintaining a safe environment and intervene as needed; identify and initiate follow-up for safety issues; implement physician orders safely and notify the charge nurse of concerns.
  • Service : ensure patient and family needs are met in a timely and caring manner; uphold CARE standards with focus on communication, appearance and respect; work collaboratively as part of the Patient Care Team to support unit operations.
  • Management of Resources / Supplies : order, expedite, and distribute unit, clerical, and patient care supplies; maintain stock levels; coordinate facilities, IT, and housekeeping work orders; arrange repairs as needed.
  • Management of Information : answer and manage all unit phone calls, take accurate messages, and deliver to appropriate staff; participate in shift-to-shift handoffs; coordinate paperwork (fax referrals, etc.).
  • Patient / Family Education and Support : receive and orient visitors, provide unit operation information to patients and families, and respond to patient and family concerns.
  • Interdisciplinary Collaboration : interact with all health care team members to provide interdisciplinary patient- and family-centered care; cross-train and float to other units as needed.
  • Quality and Compliance : maintain unit secretary competencies, participate in quality improvement activities and related programs as directed by the Nursing Director; comply with organizational CARE standards and privacy requirements.
  • Patient Care Coordination : assist with admissions, transfers, discharges, bed management, and transportation; communicate updates to the clinical team and admit / discharge staff as appropriate.

Qualifications

Education

High School Diploma or Equivalent required; Associate's Degree preferred.

Experience

1-2 years of experience in a medical or customer service setting preferred; knowledge of Medical Terminology; computer knowledge with Microsoft Office strongly preferred.

Knowledge, Skills, and Abilities

  • Adherence to CARE Standards; excellent interpersonal and communication skills; ability to work as part of a team and adapt to a fast-paced and evolving unit.
  • Ability to work independently with strong organizational skills and the ability to prioritize tasks; proficient in written and verbal communication; flexible to cross-train and float to other units as needed.
  • Ability to provide indirect care appropriate to the patient age range on the unit; ability to sit / stand for extended periods; ability to assist with lifting up to 20 lbs and assist with patient transport.

Physical Requirements

Standing, walking, sitting, lifting, carrying, reaching, and other movements required; typical hospital environment with varied shifts and patient care demands.

Compensation

Pay Range : $18.44 - $27.39 / Hourly
