Job Overview

Crowell & Moring LLP is an international law firm with offices in the United States, Europe, MENA, and Asia. The firm represents clients in litigation, arbitration, regulatory, intellectual property, and transactional matters. The Legal Secretary provides professional and administrative support to assigned attorneys, including members of the firm’s Executive Committee and Management Board.

Key Responsibilities

  • Assemble and handle confidential and sensitive information; resolve client issues by phone or in person.
  • Prepare substantive edits and client bill statements.
  • Maintain calendars of meetings, appointments, business travel, and special events.
  • Coordinate meetings, conferences, and events; gather and prepare related materials for distribution in advance.
  • Compose and format legal documents, reports, and presentation materials; proof same for accuracy and grammar.
  • Collect, enter, and edit time for client billing purposes.
  • Coordinate domestic and international travel; prepare, submit, and track travel and expense reimbursements.
  • Prepare firm communications, correspondence, and presentations in collaboration with Marketing Department.
  • Screen and refer telephone calls consistent with office policy; refer matters to staff as appropriate.
  • Open, sort, and distribute mail in compliance with office policy.
  • Assist firm leadership, practice group leaders, and business managers with administrative or operational tasks.
  • Maintain physical and electronic filing systems for efficient retrieval of information.
  • Direct questions to staff and resources as appropriate, possessing an understanding of firm policies and procedures.
  • Assist attorneys or staff with team support as needed.
  • Perform other duties based upon the unique practice of assigned attorneys.

Qualifications

  • Demonstrated ability to consistently provide high quality client service to internal and external clients.
  • Ability to follow directions and work effectively independently and with others.
  • Proficiency in MS Office to produce high‑quality written communications.
  • Thorough command of the English language with excellent spelling, grammar and punctuation.
  • Clear oral and written communication skills.
  • Attention to detail and efficiency in routine and non‑routine tasks.
  • Ability to adapt to changing priorities and maintain a productive work effort, meeting deadlines and managing workload; aptitude to coordinate initiatives.
  • Analytical problem‑solving using precedent or prior experience.
  • Sound judgment and discretion in handling confidential information; poise, tact and diplomacy.
  • Professional representation of the firm with honesty, integrity and professionalism.
  • Working knowledge of legal terminology and procedures.
  • Knowledge of standard office equipment and software.
  • Typing speed 80 words per minute.
  • Availability to work overtime hours as requested.
  • Physical ability to lift, move and carry items up to 25 lbs without assistance.

Education and Experience

High School Diploma or GED required. AA/BA/BS degree or equivalent specialized training a plus. Bilingual speaking skills also a plus. Seven (7) years of administrative experience required.

Compensation and Benefits

Salary range $71,000–$93,000, with discretionary bonus possible. Competitive benefits include health, vision, dental, retirement, paid leave, backup childcare, wellness programs, cultural events and social activities.
