Job Title
Medical Secretary
Key Responsibilities
- Answer phone calls, greet visitors and participants, and take messages.
- Schedule diagnostic appointments and medical consultations for participants.
- Request and track medical records; ensure all laboratory, radiology and test results are received and reported to the physician and clinical staff.
- Verify daily medication orders from Pharmacy, prepare delivery tickets and distribute to the appropriate driver.
- Maintain unit‑specific documentation in accordance with department guidelines and regulatory standards.
- Use Electronic Medical Record system to document patient information.
- Support the Patient Coordinator by performing scheduling and coordination duties, including authorizations; enter data into the system and maintain an updated agenda.
- Update the daily IDT agenda and record IDT minutes.
- Perform clerical and support functions for the department and attend meetings and in‑services as needed.
- Order supplies for PACE on the Meditech system and manage clinic traffic flow.
Required Qualifications
- High School Diploma or equivalent.
- Minimum six months of office clerical experience, preferably in a healthcare setting.
- Medical Secretary certification preferred.
Skills & Abilities
- Knowledge of medical terminology.
- Strong organizational and self‑starter skills.
- Proficient in Microsoft Outlook, Word, Excel and PowerPoint.
- Ability to work with geriatric patients and demonstrate a caring attitude toward participants, families and facility guests.
- Must speak, read and write English; bilingual Spanish/English required.
