Proposal Writing Assistant

A growing federal contractor is seeking a
Proposal Writing Assistant
to support the preparation, writing, and submission of competitive federal proposals. This entry-level role is ideal for individuals with excellent attention to detail, strong writing and formatting skills, and an interest in building a career in government contracting and business development.
The Proposal Development Assistant will collaborate closely with business development leaders, capture managers, technical experts, and senior leadership to produce compliant, high-quality proposal responses for federal opportunities.
Key Responsibilities Proposal Writing & Content Development
Draft and format proposal sections such as resumes, past performance narratives, compliance matrices, and technical write-ups.
Review and analyze RFPs, RFQs, and other solicitation documents to ensure a clear understanding of requirements.
Work with subject matter experts to translate technical input into clear, persuasive content.
Create executive summaries, company overviews, and other key proposal components.
Maintain consistency in tone, style, and compliance across all documents.
Update tables of contents, headers, and footers to ensure professional formatting and federal compliance.
Proposal Coordination & Project Support
Support all phases of the proposal lifecycle to ensure timely, organized submissions.
Track development activities, coordinate inputs, and support kickoff meetings.
Monitor deadlines and status updates for each component to keep projects on schedule.
Assist with assembling and finalizing complete proposal packages for on-time delivery.
Compliance & Quality Control
Verify adherence to solicitation requirements for structure, format, and content.
Use established templates, style guides, and databases to ensure quality and consistency.
Edit and proofread content for grammar, clarity, and accuracy.
Support document reviews and incorporate feedback efficiently.
Partner with technical staff, sales teams, and leadership to gather relevant content.
Communicate project status, risks, and updates to stakeholders in real time.
Work with graphic designers to incorporate visuals, charts, and diagrams to enhance proposals.
Knowledge Management & Content Library
Maintain a library of reusable proposal content and past performance information.
Track proposal activity and document lessons learned to strengthen future submissions.
Contribute to the continuous improvement of proposal processes and resources.
Required Qualifications
Bachelor’s degree (English, Communications, Business, Technical, or related discipline preferred).
Strong typing and document formatting skills.
At least 1 year of experience supporting federal proposals or working in government contracting.
Familiarity with federal procurement regulations and proposal requirements.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams).
Experience using tools such as VisibleThread for RFP analysis and compliance tracking.
Working knowledge of government solicitation platforms (e.g., SAM.gov, GSA eBuy, PIEE, Deltek GovWin).
Basic graphic design experience (e.g., Adobe Creative Suite).
Ability to pass background and drug screening.
Preferred Qualifications
Experience in sectors such as IT, Cybersecurity, Healthcare, or Financial Management.
APMP certification (Foundation or Practitioner level).
Advanced writing, editing, and proofreading abilities.
Strong analytical skills and the ability to explain complex concepts clearly.
Proven ability to work under tight deadlines with multiple priorities.
Excellent communication and interpersonal skills for cross-functional teamwork.
Reports directly to senior leadership with significant exposure to business development strategy.
Involves managing multiple concurrent proposal efforts while maintaining accuracy and compliance.
