About CDSS UC Berkeley’s College of Computing, Data Science, and Society is a dynamic, innovative new college that brings together faculty, researchers, staff, and students from computing, statistics, the humanities, and social and natural sciences. It reflects the cross‑cutting nature of data science, redefining the research university for the digital age. CDSS connects the Data Science Undergraduate Studies program, the Department of Electrical Engineering & Computer Sciences, the Department of Statistics, the Berkeley Institute for Data Science, Computational Precision, and the Center for Computational Biology. The College is charged with growing Berkeley’s broad‑based programs in data science, computing, statistics, and other interdisciplinary programs, including classes and programs serving thousands of undergraduate students annually.

Role Overview The Executive Assistant to the Dean provides high‑level support, ensuring administrative processes and office operations run smoothly in the Dean’s office. The incumbent coordinates the highly complex and constantly changing calendar of the Dean, manages confidential matters, and helps the Dean and Chief Administrative Officer (CAO) meet their priorities.

Responsibilities

Schedule all of the Dean’s meetings on own initiative (40%).

Make travel arrangements and manage all logistical support.

Handle high‑level contacts requiring discretion and diplomacy.

Gather, compile, and prep background information, talking points, and briefing materials.

Plan meetings and public events.

Understand the Dean’s priorities and preferences to effectively manage her calendar.

Ensure timely communication with all reporting units (DSUS, BIDS, EECS, Statistics).

Develop and implement efficient systems to manage information, projects, and communications (15%).

Partner with the CAO to develop and maintain systems and processes for the Dean’s office (15%).

Serve as gatekeeper, ensuring that only issues warranting the Dean’s attention are escalated (15%).

Manage day‑to‑day administrative operations of the CDSS Dean’s office (15%).

Respond to inquiries from faculty, staff, students, and the public on behalf of the Dean (10%).

Track all inquiries to ensure timely and appropriate resolution (5%).

Investigate issues and draft responses to urgent requests.

Required Qualifications

Thorough knowledge of common campus‑specific and office applications, including new office technology tools.

Political acumen and sensitivity to the differing perspectives and political circumstances within all levels of the campus.

Strong service orientation and ability to use high‑level discretion while maintaining confidentiality.

Excellent communication skills (verbal and written) with all levels of staff, faculty, alumni, donors, students, and external constituencies.

Ability to multi‑task with demanding timeframes.

Familiarity with campus processes, protocols, and procedures; knowledge of federal regulations such as FERPA.

Advising and counseling skills.

Solid problem‑identification skills.

Bachelor’s degree in a related area and/or equivalent experience/training.
