Job Description We are seeking a dynamic and highly organized Executive Assistant to serve as a strategic partner to our Chief Executive Officer. The role requires a proactive, resourceful, and detail‑oriented individual who thrives in a fast‑paced global environment. As the CEO’s right hand, you will manage schedules, communications, events, and high‑priority projects while acting as a key liaison to internal and external stakeholders.
Executive Support & Calendar Management
Proactively manage the CEO’s calendar, prioritizing and resolving scheduling conflicts with efficiency and discretion.
Anticipate the CEO’s needs and ensure seamless day‑to‑day operations.
Meeting Coordination & Preparation
Prepare the CEO for meetings by compiling agendas, briefing materials, and relevant documents.
Attend meetings, take detailed notes, and track follow‑ups to ensure timely completion of action items.
Oversee executive and leadership team meetings, including scheduling, agenda development, and material distribution.
Assist in planning and executing company‑wide events, such as quarterly business reviews and off‑site meetings.
Travel & Expense Management
Coordinate complex travel arrangements, including itineraries, accommodations, and transportation.
Prepare and submit accurate expense reports in a timely manner.
Project Management
Drive and track the CEO’s initiatives and special projects from concept to completion.
Communication & Stakeholder Management
Act as the primary point of contact between the CEO and internal/external stakeholders, including the Board of Directors, investors, and employees.
Draft and prepare confidential correspondence, reports, and presentations.
Manage Board meeting logistics, including scheduling, travel arrangements, and preparation of materials.
Support investor relations activities, such as coordinating events and preparing briefing materials.
Confidentiality & Discretion
Handle sensitive information with the utmost integrity and professionalism.
Serve as a trusted partner, safeguarding confidential employee, financial, and business information.
Required Education, Experience & Skills
5+ years of experience in an executive administrative role providing direct support to a CEO in a global, publicly traded company.
Undergraduate degree preferred (not required); degree paths might include business administration, communications, office administration, legal studies, finance, or liberal arts.
Proven experience managing the Board of Directors’ interactions and logistics.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Technically savvy, leveraging technology for efficiency.

Collaboration First Hybrid Work Arrangements This role is hybrid eligible with the requirement to be in office at least four days per week. Colleagues are expected to demonstrate a collaboration first mindset and should be flexible to adjust their hybrid days based on business needs. You will have an opportunity to work with your team and leader to determine when you should be in the office to drive meaningful connections and best serve our customers.
