About The Role We are seeking a highly organized and proactive

Executive Assistant

to provide comprehensive administrative support to senior leadership within a fast‑paced construction environment. This role will play a critical part in ensuring the executive team is well supported, will manage construction contracts, ensure schedules run efficiently, and ensure communication is clear and professional across the organization and with external partners.

Key Responsibilities

Administrative Support:

Manage complex calendars, schedule meetings, and coordinate travel arrangements.

Prepare, edit, and distribute correspondence, reports, and presentations.

Act as a gatekeeper, handling incoming communications with professionalism and discretion.

Project Coordination:

Assist in tracking key initiatives, project timelines, and follow‑ups to ensure critical tasks are completed on schedule.

Support preparation for executive meetings, including agenda development, document organization, and minutes.

Coordinate with internal teams and external stakeholders to support ongoing projects and business initiatives.

Operational Support:

Maintain organized filing systems and manage confidential information with a high degree of integrity.

Assist with expense reporting, invoice processing, and basic budget tracking.

Help facilitate internal communications and support company events or leadership meetings as needed.

Relationship Management:

Serve as a primary point of contact for executives, both internally and externally.

Build strong working relationships across departments to streamline communication and workflow.

Represent the executive team with professionalism and a solutions‑oriented mindset.

Qualifications

Minimum 5 years of administrative or executive support experience; experience in construction, engineering, or a similar fast‑paced environment strongly preferred.

Proven ability to manage multiple priorities with exceptional attention to detail.

Strong organizational, time management, and communication skills.

Proficient in Microsoft Office Suite and comfortable learning new technology platforms.

Discretion in handling sensitive and confidential information.

Ability to work independently while anticipating the needs of leadership.
