Overview
Genesis10 is currently seeking an Administrative Assistant with our client in the financial industry located in Charlotte, NC. This is a 12+ month contract position.
Responsibilities
Schedule meetings and intense daily calendar management
Screen & respond to incoming meeting emails: forward & respond pro-actively as appropriate
Prepare executives for each day's meetings, including daily calendar, assist in compiling and organizing documents and materials for meetings
Accurately arrange complex, detailed and frequently changing travel plans and itineraries in Concur
Expense processing in Concur
Assist with various administrative aspects of the Leadership team
Assist other senior members of the leadership team when needed
Assist key leaders in the organization in coordinating and managing global team routines, events, and activities
Order supplies, access requests, communications to the teams, etc.
Plan, schedule and coordinate team events, outings, etc.
Requirements
Able to work autonomously across a complex organization structure
Adaptable and work well with people with different interpersonal style
Ability to maintain a very organized desk and be adaptable to daily change as well as ability to prioritize tasks
Prior work or current work experience as a Senior Administrative Assistant
Demonstrated ability in either current or prior positions to interact with senior level executives
Understanding of managing executive calendar and prioritizing activities, ideally with prior experience in communicating with other executives and their support staff
Ability to work independently, multi–task, manage time wisely; handle confidential and sensitive material with highest degree of integrity
Strong executive presence; superior interpersonal communications skills
Ability to multi-task in an urgent and deadline-driven environment
Demonstrate accuracy & thoroughness and monitor own work to ensure quality
Excellent attention to detail and organizational skills
Proactive attitude with ability to stay focused and maximize time efficiently
Enthusiasm, patience, and positive attitude are a must
Proficient with these programs: MS Office Products (Outlook, Word, Excel, PowerPoint)
Desired Skills
Knowledge of systems including Concur, Ariba/eRequest, Corporate travel services, myFacilities, visitor access system, Workday
