Description We are seeking a highly adaptable and resourceful Executive Assistant to support the Executive Director of purpose-driven non-profit organization. The Executive Assistant will play a pivotal role in ensuring the Executive Director's day-to-day operations run seamlessly and efficiently while contributing to the broader success of the organization. Key Responsibilities: Administrative Support:
- Manage the Executive Director's complex and fluid calendar, including scheduling meetings, appointments, and travel arrangements.
- Draft, proofread, and edit correspondence, reports, and presentations on behalf of the Executive Director.
- Anticipate the Executive Director's needs and proactively prepare materials, information, and resources to support decision-making.
- Act as a central point of contact for internal teams and external stakeholders, ensuring clear and timely communication in all directions.
- Monitor deadlines, evolving priorities, and competing demands, ensuring nothing falls through the cracks in a fast-paced environment.
- Quickly troubleshoot unforeseen challenges, demonstrating resourcefulness and creative thinking under pressure.
- Support planning and execution of events, fundraisers, and organizational initiatives, managing multiple moving parts with precision.
- Track the progress of projects and follow up with team members to keep deliverables on schedule.
- Maintain composure and a positive, solution-focused attitude when shifting priorities or last-minute changes arise.
- Create structure and processes to bring clarity to ambiguous situations often encountered in a high-energy, mission-driven environment.
- Bachelor's degree preferred or equivalent work experience in administrative or executive-level support.
- Experience in a fast-paced, high-energy environment strongly preferred (e.g., non-profit, startup, or dynamic corporate setting).
- Exceptional organizational skills and a keen attention to detail.
- Proven ability to manage competing priorities and work effectively under pressure.
- Strong written and verbal communication skills, with the ability to adapt to various audiences.
- High emotional intelligence and a proactive, solutions-oriented mindset.
- Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and CRM/project management tools.
- Familiarity with agile methodologies or iterative workflows is a plus.
