Job Summary

Southwest Elementary, part of Clinton Public Schools, is seeking a welcoming, organized, and energetic School Secretary to join our dedicated team. As the first point of contact for our school, you will be the face and voice of Southwest Elementary, creating a positive and professional environment for students, parents, staff, and visitors. The ideal candidate will be an exceptional multitasker who can manage the daily administrative operations of a busy school office with efficiency and a friendly attitude.

Key Responsibilities

  • Front Office Management: Greet and assist students, parents, and visitors in a courteous and professional manner. Answer and direct all incoming phone calls.
  • Student Services: Manage student attendance records, including tardies and absences. Handle new student enrollment, transfers, and withdrawals, ensuring all documentation is accurate and complete.
  • Administrative Support: Provide comprehensive administrative support to the principal and other school staff. This includes managing calendars, scheduling appointments, and preparing correspondence.
  • Record Keeping: Maintain confidential student records and staff files with precision and in accordance with school policies and regulations.
  • Office Operations: Order and maintain office supplies, manage office equipment, and ensure the front office area is organized and running smoothly.


Qualifications and Skills

  • Required: High school diploma or GED.
  • Preferred: Previous secretarial or administrative experience, especially within a school setting.
  • Technical Skills: Proficiency in Google Suite. Experience with student information systems is a plus, but training will be provided.
  • Interpersonal Skills: Must possess excellent communication, customer service, and interpersonal skills. Ability to interact positively with children, parents, and staff from diverse backgrounds.
  • Organizational Skills: Strong ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
  • Professionalism: A high degree of professionalism, dependability, and the ability to handle confidential information with discretion.
