Estrella Mountain Community College (EMCC) is hiring a Student Services Analyst. This position works within the Admissions and Records Department, is responsible for performing professional-level student services work, which requires independent evaluation and analysis of issues and judgment to select and apply standard techniques, procedures, policies, and criteria to resolve problems and make recommendations. Essential Functions (30%) - Develops, analyzes, coordinates, and implements program functions and activities related to; A and R Functions

  • De-escalates difficult student situations to improve the student experience
  • Maintains the college's International Education population and all compliance with International students
  • Provides real time support to multiple areas/divisions to promote continuity of student support
  • Maintains Front Office and/or Back Office Operations
  • Provides direct support and leadership for the implementation of District-initiated projects or mandates
  • Monitors data entry by staff
  • Assures quality of data being entered by staff
  • Addresses any issues that arise regarding data entry by staff
  • Provides training as needed regarding data entry by staff
  • Monitors state records retention guidelines and deletion of records in accordance with statue
  • Monitors daily and yearly processing statistics (i.e. tracking phones, in-person, and online stats)
  • Reviews program requirements criteria to evaluate and determine eligibility; and/or evaluates policy to determine and ensure program compliance
National Student Clearinghouse Processing
  • Monitors data and corrects reporting errors
  • Works with Student Services Supervisor - 117,
  • to develop an analysis of reporting errors and recommend solutions to reduce the number of reporting errors
(30%) A and R Graduation Responsibilities
  • Provides support, coverage, and coordination of staffing for graduation processes
  • Assures the implementation of MCCCD, EMCC, etc. Policies and Procedures
  • Provides support for employees processing graduation applications
  • Monitors and supports the Graduation Application intake process
  • Assures that graduation supplies, diploma covers, cords, etc. are maintained at an adequate level
Provides athletic eligibility support to Student Life
  • Researches program opportunities, industry standards, trends, best practices and emerging technologies and makes recommendations for implementation
  • Coordinates, implements and evaluates processes and procedures; implements program outreach and/or recruitment and retention activities
  • Designs, develops, maintains and delivers program resource information, presentations, reports, correspondence, and promotional material
  • Conducts surveys and/or analyzes and maintains program data to gauge program effectiveness
  • Serves as a program and customer liaison providing program and policy advisement and related information
  • Monitors and coordinates the provision of information and technical assistance regarding applicable laws, policies, rules and regulations
Researches and assists in analyzing and interpreting Policies and Procedures
  • Interprets any changes in Policies and Procedures
  • Analyzes current Policies and Procedures and applies them to daily operations

  • Plans, organizes, and assigns the work of staff if serving as a lead worker; plans, organizes, assigns, reviews and evaluates the work of staff if assigned as a lead worker
  • In partnership with the division Leadership Team, coordinates workflow for employees
  • Works with off-site locations to fulfill coverage gaps
  • Supports staff with daily operations,
  • Provides support to staff for more technically complex issues
  • Provides support to staff when customers challenge the process
  • Provides advice to staff and students regarding processes related to complex issues
  • Coordinates the hiring of part-time staff
  • Performs program coordination and administration including operational planning, program management and evaluation, problem-resolution and technical assistance
  • Provides daily processing updates to employees (as needed)
  • Provides Front Counter Support
  • Provides Phone Support
  • Provides DL- Records Support and transcript processing
  • Provides A and R Training (Front, Back Office and Virtual)
  • Provides processing support for all A and R areas as needed
  • Assists with technical support and troubleshooting for SIS related issues within A and R
  • Monitors and adjusts department processes to meet partnership expectations, within compliance guidelines. (i.e. AAEC registration, Dual Enrollment processing, etc.)
  • Processes subpoenas as needed
  • Serves as Designated School Official (DSO) for International Education
  • Advisement and A and R function for these students is included

  • Monitors grant funding opportunities and administration, program expenditures and program regulations
  • Performs other duties as assigned commensurate to the grade level of the position
