Full-Time Administrative Assistant – Financial Advisor Firm

We’re seeking a detail-oriented and highly organized Administrative Assistant to support a Financial Advisor in Golden Valley. This full-time, in-office role (Monday–Friday, 8:30 AM–5:00 PM) is ideal for someone who thrives in a professional, client-focused environment. Career advancement opportunities available. Responsibilities

  • Serve as the first point of contact for clients via phone, email, or in-person.
  • Answer and direct incoming calls with professionalism and warmth.
  • Draft and send client‑facing correspondence, including account updates and meeting reminders.
  • Handle sensitive communications with discretion (e.g., bereavement notices, data incidents).
  • Write and distribute emails, memos, and letters.
  • Contribute to company reports and maintain organized filing systems.
  • Develop and update office procedures to support operational efficiency.
  • Schedule appointments, follow up on paperwork, and relay advisor updates.
  • Prepare and process forms for account transfers, withdrawals, and beneficiary updates.
  • Organize and submit forms via Docusign.
  • Maintain accurate client records and ensure regulatory compliance.
  • Coordinate with custodians to track paperwork and resolve issues.
  • Manage daily office tasks using Redtail CRM.
  • Assist with document preparation and data entry.
  • Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive).

Qualifications

  • Proven experience as an Administrative Assistant or in a similar support role.
  • Familiarity with standard office equipment (e.g., printers, scanners, fax machines).
  • Exceptional organizational and time‑management skills; able to prioritize and manage multiple tasks.
  • Strong attention to detail and ability to work efficiently in a fast‑paced environment.
  • Excellent written and verbal communication skills with a professional and friendly demeanor.
  • Experience in financial services, banking, insurance, or mortgage processing is a plus.
  • Tech‑savvy and comfortable learning new systems and software platforms.
