Description We are looking for an experienced Executive Assistant to support high-level executives and contribute to the smooth operation of organizational activities. This Contract position is based in Midland, Texas, and involves handling a variety of administrative tasks, maintaining records, and coordinating events. The ideal candidate will demonstrate exceptional organizational skills, professionalism, and the ability to manage multiple priorities effectively. Responsibilities:
- Provide comprehensive administrative support to executives, including maintaining certifications, licenses, and managing schedules.
- Organize and facilitate board meetings, including preparing materials, coordinating logistics, and recording official minutes.
- Maintain and update fundraising software and donor records in collaboration with the Director of Fund Development.
- Coordinate corporate events and ensure seamless execution of all logistics.
- Manage office supplies, inventory, and maintain a clean and organized work environment.
- Oversee scheduling of front desk coverage and provide support as needed.
- Safeguard the privacy of records and corporate archives related to residents, employees, and the facility.
- Communicate effectively with residents, visitors, staff, and vendors to foster a positive environment.
- Proofread documents and prepare accurate reports, ensuring all communications are error-free.
- Abide by organizational policies and procedures while contributing to a collaborative workplace. Requirements - Proven experience in administrative or executive assistant roles with strong organizational skills.
- Proficiency in calendar management, travel arrangements, and meeting coordination.
- Excellent written and verbal communication skills, with attention to detail and proofreading abilities.
- Familiarity with fundraising campaigns, donor records, and fundraising software is highly preferred.
- Ability to handle multiple tasks in a fast-paced environment while maintaining professionalism.
- Strong interpersonal skills to effectively collaborate with board members, staff, and external stakeholders.
- Knowledge of office administration practices and proficiency with standard software tools.
