Description We are looking for an experienced Legal Secretary to provide comprehensive administrative support to attorneys in both Transactional and Litigation sections. This role requires excellent organizational skills, attention to detail, and the ability to maintain confidentiality while managing various legal and administrative tasks. Based in Austin, Texas, this position offers the opportunity to work in a collaborative and detail-oriented environment. Responsibilities:
- Draft legal documents such as briefs, motions, subpoenas, and complaints using templates and attorney-provided information.
- Handle electronic filings in both State and Federal courts, ensuring compliance with court-specific requirements.
- Organize and maintain case information using document management systems and Court Alert, including tracking deadlines and reminders.
- Prepare trial materials such as notebooks, binders, exhibits, and other documentation as needed.
- Open and manage client and matter files, including running conflict checks in collaboration with the New Business Intake team.
- Proofread legal documents to ensure accuracy in grammar, formatting, and syntax.
- Manage attorneys' calendars, ensuring deadlines and commitments are met with advance reminders.
- Coordinate meetings and conferences, including scheduling, preparing materials, and arranging video conferencing and catering.
- Assist with billing processes by entering time, preparing billing memos, and ensuring timely submission of time entries.
- Handle travel arrangements, expense reports, and other administrative tasks to support attorneys' needs. Requirements - At least 3 years of experience as a Legal Secretary or in a similar administrative role within a legal environment.
- Proficiency in e-filing systems and familiarity with State and Federal court filing procedures.
- Strong skills in calendar management and scheduling.
- Experience coordinating conference calls, meetings, and other events.
- Excellent proofreading abilities with a keen eye for grammar, punctuation, and formatting.
- Familiarity with legal document preparation, including trial notebooks and exhibits.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- High level of professionalism and discretion in handling confidential information.
