Legal Administrative Assistant Clark Hill’s Wilmington office is seeking a Legal Administrative Assistant (LAA) to support its Labor and Employment, Litigation, and Delaware bankruptcy attorneys. The ideal candidate will be proficient with electronic filing in the State of Delaware (File&ServeExpress, File&ServeDelaware, and E-Flex) and in the District Court and Bankruptcy Court through PACER. Other ideal experience includes using Microsoft Office (Word, specifically styles for complex documents), Excel, and Outlook. This position reports to the Office Manager and the attorneys, and is responsible for providing the requisite legal secretarial and administrative support.

Responsibilities

Provide general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements.

Provide administrative and litigation assistance to Team Lead and assigned Teams.

Draft and proofread correspondence and legal documents, such as pleadings and contracts.

Format with the use of Styles, edit, and proofread legal documents with attention to detail.

Responsible for time entries.

Create letters, memos and reports as required. Prepare and distribute office correspondence.

Enter conflict information into the system for the purpose of running conflict checks for new clients and opening new matters.

File and serve pleadings/discovery in state and federal actions.

Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney.

Understands and delivers on the needs of the internal customers.

Completes and submits check request forms.

Completes expense reimbursement reports through Chrome River for assigned attorneys.

Communicate with clients and witnesses to schedule meetings, interviews, and depositions.

Train in various technology applications used across the firm as needed.

Manages, organizes, and maintains documents in paper or electronic filing systems.

Provides documentation, as required, to clients and opposing Counsel.

Manages incoming phone calls inquiries (as required by some attorneys).

Performs billable work if qualified and, if requested, on an as-needed basis.

Performs other duties or tasks as assigned or requested by the Office Manager, attorneys, paralegals or Business Unit Leader, and other related tasks.

Skills, Abilities and Capabilities

Effective verbal, non-verbal, and written communication skills.

Effective and supportive teamwork and collaboration capabilities.

Knowledge of both state and federal court rules, e-filing, and court procedures.

Advanced skills in Microsoft Word, Outlook, Excel, Adobe, legal billing and document management programs (iManage).

Must be familiar with calculating court deadlines; experience with legal calendaring programs preferred.

Good prioritization and attention to detail capabilities.

Exhibits strong initiative as an individual and as a team member.

Able to anticipate, diffuse and effectively resolve disagreements.

Strong personal resilience.

Knows what attorneys do and understands how to effectively deliver services within their needs and preferences.

Know how law firms works and how to get things done.

Highly competent in MS Office applications and other legal software as required.

Required Education / Experience

High school diploma or GED equivalent required.

Three (3) to five (5) years of prior successful experience as an Administrative Assistant or Legal Secretary required.

Preferred experience in the specific or related practice area.

The salary range at the time of posting is $60,000.00 - $65,000.00 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus. In addition, Clark Hill offers employees the ability to participate in health insurance with optional HSA/FSA, short term disability, long term disability, dental insurance, vision care, life insurance, 401K, PTO, parking/public transportation allowance, an employee assistance program and a hybrid work schedule after completing probationary period.
