The Operations Coordinator – Business Compliance plays a vital role in ensuring regulatory and operational compliance across all Lovisa stores in North America. This role focuses primarily on managing business licensing, permits, fire / life safety systems, and related store-level regulatory filings. The ideal candidate will be exceptionally organized, detail-oriented, and proactive in navigating complex compliance landscapes. While the core focus is property and operational compliance, this position also serves as a support function to Piercing Compliance efforts, including coordination on pop-up events, audits, and shared compliance reporting. The ideal candidate thrives in a fast-paced, high-growth retail environment and is eager to build systems that scale with the business. The Business Compliance Coordinator, Operations & General Services, will be responsible for: Responsibilities
Business Licensing & Permitting: Manage and track all active business licenses, health permits, DBAs, tax receipts, and seller permits for existing stores. Documentation submission & renewal: Own the submission and renewal process for all compliance documentation, both directly and through vendor coordination. New store openings: Support new store openings by identifying required permits, licenses, or regulatory steps based on jurisdiction. Documentation management: Maintain centralized documentation of all regulatory filings in an audit-ready format. Regulatory coordination: Partner with Legal and Real Estate to resolve compliance issues related to lease terms or market entry. Fire / Life / Safety (FLS) Compliance: Oversee scheduling and documentation for all fire alarm testing, inspections, extinguisher servicing, and egress requirements. FLS compliance: Ensure all stores comply with local fire codes and maintain proper emergency signage and equipment. Inspections & repairs: Liaise with Facilities and third-party vendors for completion of FLS-related inspections and repairs. Compliance tracking: Track FLS compliance rates and document any gaps for future follow-up. Documentation & reporting: Build and maintain a compliance calendar for all stores, tracking deadlines, renewals, and inspection dates. Reporting systems: Develop a dashboard or reporting system for license renewals, compliance gaps, and FLS status across all locations. Audit readiness: Ensure documentation is accessible, up-to-date, and meets internal and external audit requirements. New Market Research & Regulatory Risk: Conduct licensing and permitting research for new markets or upcoming store launches. Risk identification: Identify compliance risk factors early and provide summaries for Operations and Legal review. Mitigation planning: Partner with internal teams to prepare mitigation strategies for complex or high-risk markets. Piercing Compliance Support (secondary): Provide compliance support for piercing pop-up events, including permit coordination and zoning research. Audit documentation & training records: Assist with audit documentation and training record compliance for piercing activations. Compliance dashboards: Collaborate on dashboards that track piercing- and store-related regulatory metrics. New piercing services: Support new piercing service launches by flagging jurisdiction-specific roadblocks in licensing or zoning. Qualifications
2–4 years of experience in compliance coordination, business licensing, permitting, or regulatory operations. Experience working with government agencies or local authorities to complete filings or obtain permits. Strong attention to detail, organizational skills, and comfort with tracking deadlines across multiple entities. Proficiency in Excel and cloud-based documentation platforms (e.g., Google Drive, SharePoint). Ability to work independently and manage competing priorities in a deadline-driven environment. Excellent written and verbal communication skills. Experience in multi-unit retail, franchise, or restaurant operations is a plus. Familiarity with licensing platforms or compliance tracking systems is preferred. Skills & Attributes
