Exhibitions and Collections Coordinator
Position open to all applicants. Weekly scheduled hours: 40. FLSA status: Exempt. Earliest start date: Immediately. Position duration: Expected to continue until Dec 31, 2028. Location: UT Main Campus.
Position Overview The Blanton Museum of Art at the University of Texas at Austin is known for its bold vision and dynamic programming. This three‑year term position (subject to renewal based on funding and performance) provides an opportunity to contribute to the museum’s exhibitions and educational programs.
Responsibilities
Assist the Director of Collections and Exhibitions with exhibition project management, including scheduling meetings, crafting agendas, running meetings, monitoring budgets, taking minutes, and archiving notes.
Create project timelines to track internal and external deadlines and manage key deadlines.
Maintain exhibition archives, review and cull paper files, and coordinate the digital archive in coordination with the Collections and Information Access Manager.
Create exhibition model chips and smaller didactics using Adobe Suite.
Generate publication timelines and communicate with curatorial staff regarding all deadlines and budgets.
Distribute publications to staff, mail out copies to authors, venues, lenders, and other contributors in accordance with agreements.
Oversee onsite inventory of publications and coordinate releases to outside vendors.
Apply for ISBN, Library of Congress Control Number (LCCN), permissions, grants, and copyrights as required for all applicable publications.
Provide digital publications to Texas Scholar Works for their digital catalogue.
Maintain publication library and historical records in consultation with the Collections and Information Access Manager.
Create small e‑publications or Blanton brochures as assigned.
Coordinate group housing and storage projects, including timelines, location tracking, material review, and building housings as trained.
Assist matting and framing preparators with oversized framing and large two‑person projects.
Assist with art movement for collection photography, curatorial viewings, and other collection needs.
Perform other collections‑related preparator work as needed.
Complete archival filing and digitization as needed.
Coordinate and arrange department‑wide supply orders and process paperwork.
Make travel arrangements for exhibition purposes including airfare, hotel, transportation, per diem, etc.
Assist with special projects and other duties as assigned.
Represent the museum with a high level of integrity and professionalism.
Adhere to museum policies supporting management decisions in a positive, professional manner, and work collaboratively with all staff.
Maintain confidentiality within and outside the museum.
Required Qualifications
Bachelor’s degree required; a minimum of 4 years of experience in a museum or related setting, gallery, or publication work.
Experience managing production schedules for publications and/or exhibitions.
Knowledge of museum operations, policies, and standards; experience with museum‑oriented thesauri.
Proficiency in the complete Adobe Suite.
Preparator experience in a museum or gallery.
Ability to assess priorities, work well under pressure, and analyze and solve problems independently (or collaboratively when necessary).
Professional written, verbal, and interpersonal communication skills with staff members, trustees, lenders, donors, and volunteers.
Must be able to sit for long periods; work is primarily sedentary and requires extensive use of computer to review and edit text and design documents.
Must be able to lift 35 lbs.
Must be able to visually inspect text, art, and visual color graphics.
Salary $48,000 + depending on qualifications.
