Overview
Kimley-Horn is looking for an Employee Experience Administrative Assistant to join our team in Raleigh, North Carolina (NC)! This is not a remote position.
Responsibilities
Individual and Group Support:
?
Book travel arrangements, including OfficeSpace booking
Manage expense reports
Proactively Manage Outlook Calendars (meetings/call scheduling)
Maintain team shared travel calendar
Compile meeting agendas, minutes, and other miscellaneous documents
Diversity & Inclusion Support:
?
Schedule regular D&I related meetings
Scheduling and logistics for specific ERG requests, D&I Programs, workshops and events
Face-to Face Meeting Logistics:
?
Reserving meeting space
assisting attendees with travel booking or providing travel direction, creating travel matrixes for attendees
Ordering catering for meals and snacks, making outside reservations
Preparing printed materials
General Office Support:
?
Submitting invoices
General data entry, document formatting, filing, and mailing
Asana support
Backup for reception / front desk
General office administrative duties
Office event support as needed
Qualifications
High school diploma or equivalent and 4+ years of administrative experienceor executive assistant experience in a corporate/professional environment
Proficiencyin managing and balancing multiple tasks/priorities with a high sense of urgency
Outstanding organizational skills and attention to detail
Strong proficiency with MS Office including Microsoft Word, Excel, PowerPoint, and Outlook
Great attention to detail required
Ability to work independently and as part of a team
Identify and proactively solve problems
Experience with Concur is a plus (not required)
Able to manage and balance multiple tasks and priority
