Brief Summary of Job Duties:
The Communications & Administrative Coordinator reports to the Business Officer and provides a blend of administrative, communications, and creative services. The role works closely with the Department Chair to provide executive-level support while also leading departmental communications, marketing, and digital media initiatives. This position serves as a central hub for departmental messaging and operational support, drafting content, maintaining web and digital platforms, and coordinating projects that advance the Department of Technology Management's academic and programmatic goals. It requires exceptional writing and editing skills, strong organizational abilities, discretion, and the capacity to balance multiple priorities in a fast-paced academic environment. The Coordinator collaborates with the Chair, Business Officer, faculty, staff, students, alumni, donors, and external stakeholders to ensure the Department of Technology Management's vision, achievements, and opportunities are communicated with professionalism, clarity, and creativity. This position also assists with special initiatives and administrative projects as assigned, requiring adaptability, sound judgment, and initiative. Qualifications: Required Qualifications: High school diploma or equivalent experience. 1-3 years of experience in communications, marketing, or public relations in an academic or professional setting. 1-3 years of experience with website management tools (e.g., WordPress, Drupal) and social media platforms. 1-3 years proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic design tools (e.g., Canva, Adobe Creative Suite). Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills. Ability to exercise discretion, maintain confidentiality, and handle sensitive information with professionalism. Strong organizational skills with the ability to plan, prioritize, and execute multiple projects simultaneously. Ability to interpret and apply branding, accessibility, and communications standards to digital and print media. Demonstrated problem-solving and decision-making skills, with flexibility to adapt to changing priorities. Preferred Qualifications: Bachelor's degree in communications, marketing, journalism, business, or a related field; or equivalent professional experience/training. 1-3 years of experience producing digital newsletters and donor/stakeholder communications. 1-3 years of experience in higher education administration. Familiarity with UC and UCSB policies, procedures, and branding standards. 25% Administrative & Chair Support
Provides analytical and administrative support in service of the Department Chair. Researches background material from a variety of sources, synthesizes information, and prepares recommendations on selected issues. Drafts confidential correspondence and internal reports on behalf of the Chair. Prepares talking points and briefing materials to support departmental meetings, faculty committees, and short- and long-term planning. Collects and analyzes departmental data to develop decision-making tools such as spreadsheets, dashboards, and presentations. Reviews internal documents for accuracy and professionalism, and implements strategies for presenting data in required reports to the Dean's Office, Academic Senate, and UC Santa Barbara administration. Applies strong knowledge of UC and UCSB policies to interpret guidelines, recommend solutions, and ensure compliance. Manages and prioritizes the Chair's calendar, coordinating faculty, student, and committee meetings as well as departmental events. Provides logistical support for on-campus and external meetings, visits, and program reviews. Exercises discretion in preparing confidential correspondence, coordinating schedules, and implementing systems that ensure continuity and smooth departmental operations. Writes and edits content such as newsletters, press releases, announcements, donor correspondence, and alumni or student features. Creates marketing and promotional materials, including brochures, flyers, and digital campaigns, to enhance recruitment, visibility, and program growth. Serves as a primary point of contact for inquiries about the department and its programs, ensuring accurate and timely information for prospective students, alumni, donors, and the public. Develops tailored donor communications and recognition materials, collaborating with the College of Engineering and campus development offices to align the Department of Technology Management's outreach with UC Santa Barbara goals. Ensures consistency, professionalism, and editorial quality across all departmental communications.
30% Digital Media & Web Presence
Oversees the Department of Technology Management's digital presence, serving as webmaster for the departmental website and ensuring content accuracy, accessibility, and compliance with UC branding and accessibility standards. Manages departmental social media accounts (LinkedIn, Instagram, Twitter/X, Facebook), curating and scheduling content to highlight faculty research, student achievements, program offerings, and departmental events. Leads digital campaigns and newsletter distribution, coordinating design, formatting, and technical implementation to ensure broad and effective reach. Collects and analyzes engagement metrics, such as web traffic, social media performance, and newsletter analytics, to assess impact and refine communication strategies. Prepares regular summaries of communications metrics for the Chair to inform strategic decision-making. Provides communications and design support for special projects, presentations, and donor or stakeholder engagement at the direction of the Chair.
