ABOUT THIS ROLE
The Executive Assistant is a proactive, highly organized professional who provides comprehensive support to Wawona's Chief Executive Officer, Executive Vice President, Chief Financial Officer, and Chief of Staff.
This role serves as a trusted partner-coordinating calendars, meetings, communications, and strategic initiatives while ensuring the highest levels of professionalism, confidentiality, and efficiency. The Executive Assistant thrives in a fast-paced environment, balancing executive-level strategy support with day-to-day administrative excellence.
DUTIES INCLUDEExecutive & Leadership Support
Manage complex calendars and priorities for the CEO, and EVP.
Coordinate meetings, board sessions, retreats, and conference calls; prepare agendas, presentations, and follow-up notes.
Support the MAB through scheduling, materials, and communication with external members.
Track strategic initiatives and ensure timely deliverables at the direction of the Chief of Staff.
Draft, edit, and format correspondence, reports, and presentations on behalf of executives.
Maintain company priorities dashboard and ensure leadership updates are current.
Attend meetings, capture notes and action items, and maintain organized digital records.
Conduct research and compile information to support executive decision-making.
Serve as a liaison for internal teams, external partners, and visitors.
Maintain daily organization of the executive office and meeting spaces.
Oversee document management and filing systems.
Coordinate complex travel, itineraries, and expense reporting for executives.
Manage conference room schedules, office supplies, and catering for meetings.
Support company visitors and ensure a professional, welcoming environment.
Run and format company reports; monitor for completeness or inconsistencies.
Support the executive team with budgets, expense reports, and financial tracking.
Develop working knowledge of Wawona's reporting and business intelligence tools.
Collaborate with leadership to align priorities and follow up on initiatives.
Provide backup administrative support to other departments as needed.
Assist with onboarding, tours, and company event coordination.

QUALIFICATIONS
Required:
5+ years of experience as an Executive Assistant or senior administrative professional supporting C-level leaders.
Experience working in a family-owned or privately held business.
Exceptional organization, communication, and attention to detail.
Proven ability to manage multiple priorities with discretion and confidentiality.
Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools (Zoom, Slack, etc.).
Strong writing, editing, and presentation preparation skills.
Ability to work independently while maintaining a team-oriented mindset.
Preferred:
Bachelor's degree in Business Administration or a related field (or equivalent experience).
Experience in a food manufacturing or processing environment.
Familiarity with AI-based productivity tools and safe, responsible AI usage.
Financial literacy and experience supporting budgeting and expense reporting.
LOCATION
This position is based at Wawona Frozen Foods' Corporate Office in Clovis, California, with occasional travel to manufacturing plants and meetings as required.
COMPENSATION & BENEFITS
Pay Range: $75,000 – $90,000 annually (DOE)
Compensation is determined based on experience, education, and internal equity in compliance with California's Pay Transparency Act.
