Job Title: Secretary to Principal Dept./School: Junior High

Reports to: Principal Revised: April 1, 2006

Primary Purpose:

Ensure efficient operation of school administrative office and provide clerical services for school's administrative staff.

Qualifications:

Education/Certification:

High School Diploma or equivalent

Special Knowledge/Skills:

Proficient typing, word processing, and file maintenance skills

Effective organizational, communication, and interpersonal skills

Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Knowledge of basic accounting principles

Minimum Experience:

One to three years of secretarial experience, preferably in public education environment

Major Responsibilities and Duties:

Prepare written correspondence forms, schedules, or reports using typewriter or personal computer.

Prepare instructional materials, meeting agendas, honor rolls, and campus communication as requested, using typewriter or personal computer.

Secure Teach for A Day and maintain a daily teacher attendance log and records for Teacher for a Day.

Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office.

Input grade data for incoming students.

Request and transcribe transfer student records.

Generate grade point average and class rank.

Clerk for campus demographics for staff/student for PEIMS.

Prepare PEIMS extract.

Input Campus Improvement Plan.

Run and maintain grade verification sheets every 3 weeks and six weeks. Run report cards, progress reports and failure lists.

Enter discipline information into computer.

Assist students, teachers, and parents as needed.

Assist in receiving incoming calls, take reliable messages, and route to appropriate staff.

Maintain physical and computerized files including inventory of school and office supplies, mailing lists, student records, visitor logs, and office communication.

Update documents as assigned.

Sort, distribute, or deliver mail and other documents.

Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.

Print completion certificates, and decorate for completion ceremony.

Maintain confidentiality of all information.

Type purchase orders for all campus department teachers, and organizations and forward to central office by noon on Wednesdays.

Type payment authorizations for all campus department teachers and organizations and forward to central office by noon on Thursday.

Maintain accurate purchase order and payment authorizations in the budget file.

Perform other tasks as assigned by the principal, assistant principal, or counselor.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
