Departmental Overview The UC Berkeley Labor Center conducts research and education on issues related to labor and employment. The Labor Center’s curricula and leadership training serve to educate a diverse new generation of labor leaders. The Labor Center conducts policy‑relevant research on topics such as job quality and workforce development, and collaborates with unions, policymakers, and other stakeholders to develop innovative policy perspectives and programs.

Position Summary The position will be responsible for managing the full lifecycle of grants and contracts, including preparing and shepherding proposals for foundations, major research gift donors, and government agencies, as well as post‑award coordination. The role serves as a liaison between the Labor Center’s Directors/PIs and the Berkeley Regional Services Research Administrator, handling administrative work and project management throughout the grant process. The administrator will also interact directly with funders and sponsors, assist with business contracts and gifts, maintain internal funding records in the Oracle database, and keep PIs up‑to‑date on funding status.

The Labor Center’s total annual budget is $8 million+. The administrator supports Principal Investigators raising about $4 million annually through grant and contract proposal preparation, shepherding, and deadline tracking. Gift funding generally ranges from $10,000 to $150,000 and is pursued on an ad‑hoc basis. The position coordinates with staff at the Labor Center, IRLE, and other university departments.

Responsibilities

Analysis of Funding

Provide analysis of fundraising prospects and current awards as inputs to the Labor Center budget process and financial system.

Development of Structures, Tools, and Processes

Develop and maintain organizational structure for records related to all stages of grants and contracts.

Develop manuals and tools outlining the Labor Center grants and contracts process.

Implement processes for regular status updates to Labor Center leadership and Principal Investigators (PIs).

Coordinate with IRLE and university contract and grant departments throughout the full lifecycle of grants and contracts.

Management of Proposal Process

Develop and manage a dynamic portfolio in coordination with PIs and directors to solicit and steward prospects and existing funders via multiple channels.

Serve as the lead development professional for all Labor Center proposals.

Support staff in the submission of grants and contracts, coordinating, assembling, and ensuring timely submission of proposals.

Monitor and coordinate with PIs in meeting funder and UC timelines.

Coordinate with other UC labor centers on joint fundraising opportunities.

Escalate issues with proposals that are not moving forward in a timely manner.

Monitor university grant and contract policy changes and attend training, sharing information with PIs as relevant.

Funder Relationship Management

Coordinate with PIs and the Deputy Executive Director of Programs to maintain ongoing communication with funders.

Provide information to funders via portals.

Ensure timely gift processing, reporting, and acknowledgements.

Coordinate reports, reporting deadlines, and communications for funders, in collaboration with PIs, Deputy Executive Director of Programs, and Communications team.

Ensure invoicing occurs in a timely manner.

Required Qualifications

At least 5 years of experience managing grants and contracts and building relationships with foundations and other funders.

Excellent written, oral, and interpersonal communication skills, including diplomacy.

Advanced project management skills and experience conducting projects on deadline, working independently and in coordination with a diverse group of colleagues.

Experience maintaining confidentiality.

Experience navigating and managing complex fundraising and contracting processes with foundations, government, individuals, and large institutions such as a public university.

Advanced experience reading and understanding budgets.

Bachelor’s degree in a related area and/or equivalent experience/training.

Preferred Qualifications

Advanced organizational, analytic, and problem‑solving skills.

Experience with Oracle, Salesforce, and Microsoft Suite.

Salary & Benefits The budgeted annual salary range for this position is $74,700.00 – $115,000.00. This is a full‑time (40 hours/week), career position that is eligible for UC Benefits and an exempt monthly‑paid position.

Other Information

This position will be governed by the terms and conditions in the agreement for the Research and Public Service Professionals, represented by the UAW.
