POSITION OBJECTIVE:

Busbee Wealth Strategies is seeking a Executive Assistant to serve as the strategic right hand to the President—driving excellence in both client experience and organizational performance. This individual will bring structure, heart, and forward momentum to the firm, ensuring the business operates smoothly while empowering clients to live more abundant lives.

The Executive Assistant will wear many hats—overseeing office management, legal and compliance functions, client care and support, and prospect engagement. This role is ideal for a mission‑driven leader who thrives on creating order out of complexity, builds trusted relationships, and anticipates needs before they arise.

The right candidate will be both strategic and hands‑on: a proactive problem‑solver, lifelong learner, and servant leader who treats every client interaction with empathy and respect. Ultimately, this individual will play a pivotal role in advancing Busbee Wealth Strategies’ mission of helping clients design lives and legacies that make a lasting impact.

KEY RESPONSIBILITIES:

  • Manage client incoming and outgoing communications
  • Log, respond to and track client service requests
  • New business application processing and follow through completion
  • Manage advisor calendar, schedule calls and meetings
  • Set up prospective client meetings, prepare client reviews
  • Assist in maintaining compliance requirements
  • Develop and maintain written system of all activities
  • Manage marketing calendar
  • Run seminar marketing systems to support the presentation
  • Maintain office environment and equipment
  • Responsible for learning and operating vendor systems for handling client checks, processing applications and complying with their audit systems
  • General office support

SKILLS & EXPERIENCES NEEDED:

  • Bachelor's Degree Required
  • 5+ years of professional office management or financial services experience
  • Financial plan creation and implementation and/or Redtail CRM experience is a plus
  • Positive and upbeat; people person
  • Communicates and presents professionally, articulate verbal and written communication
