Senior Administrative Assistant at BMO U.S. This role provides administrative and clerical support, financial and human resources administration, and professional support to one or more Managers and their direct reports. The position ensures administrative and operational processes and control standards are followed, while identifying opportunities for improvement to contribute to the effective and efficient operation of the business group. Responsibilities

Provides subject matter expertise and advice related to assigned strategic initiatives and serves as relationship management for these initiatives. Builds effective relationships with internal/external stakeholders. Breaks down strategic problems, analyzes data and information to provide insights and recommendations. Gathers and formats data into regular and ad-hoc reports and dashboards. Leads planning, coordinating, and implementing department events. Provides senior-level administrative and operational support within a large, diverse team including one or more senior executives. Uses systems (e.g., customized exception reports, tracking reports) to manage information. Integrates information from multiple sources to enable more efficient processes, enhanced analysis and/or streamlined reporting. Contributes input into the planning and implementation of administrative programs. Coordinates and monitors budgets and reports on results vs. budget. Provides coaching and mentoring to more junior administrative assistants to support their development. Manages and monitors calendars; dispatches meeting invitations, books meeting rooms, and arranges resources to support smooth meeting facilitation; supports coordination of department events. Develops and maintains filing systems; ensures business and operational reports, forms, and other documentation are readily available. Supports development of tailored messaging, including writing, editing, and distributing communications (e.g., correspondence, presentations, policies & procedures). Dispatches outgoing communications; answers central phone line, responding to and resolving/escalating inquiries. Processes invoices for payment in adherence with documented processes and vendor agreements. Prepares and logs departmental expense claims and reports; tracks expenses to ensure they stay within budget. Makes travel arrangements (flight/hotel reservations as needed). Liaises with internal business units and external vendors; coordinates premises and building matters, relocations, office planning, and new furniture requirements while minimizing business interruptions. Maintains supplies inventory; checks stock, anticipates needs, places orders, and verifies receipt of supplies. Ensures vacation and absence scheduling is documented, considers critical business needs, follows guidelines, and manages conflicts across employees in the group. Coordinates training requirements for staff (research, booking, cancellations, confirmations, etc.). Collaborates with internal and external stakeholders to deliver on business objectives. Organizes work information for accuracy and completeness. Demonstrates creative thinking and proposes new solutions; exercises judgment to diagnose and solve problems within established guidelines; works largely independently. Broader responsibilities may be assigned as needed. Qualifications

Typically 7+ years of relevant experience in an administrative/professional support function, with progression of responsibilities; post-secondary degree in a related field. Specialized knowledge from education or business experience. Verbal and written communication skills—strong/advanced. Collaboration and teamwork skills—strong/advanced. Analytical and problem-solving skills—strong/advanced. Influence skills—strong/advanced. Compensation

Salary: $45,000.00 - $83,000.00 Pay Type: Salaried The above represents BMO Financial Group’s pay range and type. Salaries vary based on location, skills, experience, education, and qualifications. For part-time roles, salaries are pro-rated. For roles with commissions, the listed salary reflects the target for the first year.
