Base pay range $60,000.00/yr - $70,000.00/yr

Reports to: Heather Kahlert, Executive Vice President and Lizzy Karp, Grants Manager and works closely with the Maryland team.

The Foundation has a $500+ million endowment and awards approximately $30 million annually to nonprofit organizations in Maryland and Utah. It is governed by a board of family and community members and operated by a lean, professional staff.

Job Summary The Grants Administrator plays a key role in the Foundation’s Utah-based grantmaking and operations. This position supports all stages of the grantmaking process and serves as a direct point of contact for grantees and community partners. Working closely with the Grants Manager, Executive Vice President, and the Maryland team, the Grants Administrator ensures that the Foundation’s systems, records, and communications reflect accuracy, responsiveness, and care. The ideal candidate is detail-oriented, organized, and motivated by community impact. They bring professional maturity, discretion, and good judgment to a dynamic, fast-paced, and mission-driven environment.

Experience & Qualifications

Bachelor’s degree preferred, or a minimum of 3–5 years of experience in a professional office setting.

Previous nonprofit or foundation experience preferred.

Strong organizational, time management, and multitasking skills, with the ability to prioritize and meet deadlines.

Proficiency in Microsoft Office Suite (especially Excel), Adobe and Canva.

Experience with CRM or grants management systems (Foundant GLM a plus).

Excellent written and verbal communication skills.

High level of accuracy, attention to detail, and follow-through.

Ability to work independently and collaboratively across a small team.

Professional maturity, discretion, and sound judgment.

Flexibility for occasional work outside standard hours during peak grantmaking periods.

Support all stages of the grant administration process, including compliance screenings, letters of inquiry (LOIs), award and denial letters, payments, and reporting.

Manage application intake and ensure submissions are complete, eligible, and properly documented.

Maintain accurate contact and organization records for all grantees.

Communicate proactively with applicants and grantees, assisting with application questions and deadline reminders.

Track, review, and ensure completion of all interim reports for each grant cycle; coordinate internal review and follow-up.

Maintain efficient grants management operations by identifying workflow and data management challenges and implementing improvements.

Maintain accurate and complete database grant records, ensuring consistency and compliance with legal, IRS, audit, and Foundation requirements.

Collaborate with the Maryland team on data reporting and cross-foundation grants management as needed.

Attend professional training sessions to stay current on CRM and grantmaking best practices.

Administration & Process (30%)

Provide prompt, accurate, and professional administrative support to the Executive Vice President and Grants Manager.

Prepare and organize materials for Board and Committee meetings, including agendas, reports, and summaries.

Draft regular reports and briefings for review by the Executive VP and Grants Manager.

Assist with budget tracking and preparation of financial reports.

Process monthly expenses and reimbursement reports.

Respond to calls and emails from grantees and community partners in a timely, professional manner.

Support scheduling and meeting coordination for the Executive VP.

Maintain clear digital filing and documentation systems.

Perform additional administrative duties as needed, such as mailings, correspondence, or database updates.

Business Correspondence & Communications (20%)

Draft and edit professional correspondence on behalf of Foundation leadership, including emails, letters, and reports.

Develop written materials for meetings, reporting, and partner communications, ensuring alignment with the Foundation’s tone and messaging.

Maintain discretion, professionalism, and confidentiality in all interactions.

Support coordination of internal and external communications related to grants, reporting, and partnerships.

Special Projects & Website Support (10%)

Assist with content updates for the Foundation’s website and social media, ensuring timely and accurate sharing of news and grantee highlights.

Support special projects, events, or community meetings as assigned.

Represent the Foundation professionally at occasional site visits or partner events (as needed).

Location & Work Arrangement Hybrid role based in Salt Lake City, UT. Weekly in-person engagement is expected for office-based work and partner meetings; presence may increase during board meetings, events, and peak grantmaking cycles.

Occasional evening or weekend work may be required.

Compensation & Benefits

Salary range:

$60,000–$70,000 (commensurate with experience).
