Manager, Philanthropy – USAP West and Estate Administration Responsibilities
USAP West:
Collaborate with Officers to implement donor strategies and manage portfolios; draft donor correspondence (letters and contact reports); support bank transaction documentation in line with IRC and donor policies; prepare materials and briefings for donor meetings and internal strategy sessions; track stewardship requirements and timelines for assigned donors; serve as liaison between donors, prospects, and field staff for clear, strategic communication; coordinate with Prospect Research, Analytics, and Operations to manage the full donor lifecycle; maintain and update donor records in Salesforce (proposals, reports, communications); oversee internal review and approval processes for donor materials; lead or support special projects as assigned. Estate Administration:
Oversee processing of beneficiary claims and small estate tasks; collaborate with Legal, Finance, and Philanthropy teams to ensure timely and accurate handling of estate gifts; manage claims for retirement accounts and life insurance distributions; communicate with estate representatives and coordinate document processing across departments; facilitate notarization and authentication of estate documents (notary certification within 6 months; training provided); maintain estate records in Salesforce and organize electronic and physical files; work with Global Donation Operations to ensure accurate processing of estate distributions; perform additional estate-related tasks as needed. Qualifications
Education and Experience:
Bachelor’s degree or equivalent 2–3 years of relevant experience in fundraising, nonprofit, marketing, or sales. Skills:
Strong organizational and time-management abilities; excellent attention to detail and problem-solving; ability to manage multiple priorities and meet deadlines; exceptional interpersonal, written, and verbal communication; experience handling confidential information with discretion; proficiency in Microsoft Office and CRM systems (Salesforce preferred); ability to interpret financial data and adapt to shifting priorities; commitment to humanitarian, social justice, and immigrant community causes; understanding of the U.S. fundraising landscape. Work Environment
This hybrid role requires remote work approximately 50% of the time. Candidates must have a suitable home workspace and be flexible with work hours to accommodate West Coast team schedules. Compensation
Pay Range: $63,000 – $72,000. Posted ranges apply to U.S.-based candidates and are based on factors including labor market, internal equity, and budget. Offers are calibrated by work location, candidate experience, and skills relative to the job requirements. Equal Opportunity
