Position overview: The Grants Administrator, under the direction of the Grants Manager in the Advancement Department, is responsible for researching, planning, writing and submitting foundation, corporate and government grant applications in coordination with Inter-Faith Food Shuttle’s overall organizational advancement efforts, with a focus on developing grant applications as assigned. The Grants Administrator builds quality relationships with funders, convenes staff and community partners, and tracks funding trends and new grant opportunities. The Grants Administrator ensures grants are implemented according to grantor requirements and submits all required reports. This role collaborates with program staff and the Advancement team to seek new, innovative and sustained grant funding. DUTIES AND RESPONSIBILITIES Identify funding opportunities including foundations, corporate and government opportunities; build community relationships and partnerships; and write & submit proposals to funders to meet and exceed fundraising goals and support the organization’s mission. Maintain electronic filing systems for grants, funder information, and relationship contacts; maintain hard copy filing as necessary. Maintain background information and supporting documentation related to grant applications and proposals; manage central grant reporting and notification of deadlines for program directors and finance staff. Write, prepare and file reports with funding sources and regulatory agencies; identify reporting needs for each awarded grant and obtain information from appropriate program areas to submit accurate and timely reports. Effectively convene internal and external stakeholders and secure site visits pertinent to proposals and funding exploration, fostering funder relationships for grant success. Stay current on new funding opportunities, community trends, funding trends, and grantor changes. Research and provide funding opportunity information to program directors and work with staff to prepare collaborative, creative proposals seeking funding for programs to meet community needs. Advise Grants Manager on effective methods of presenting information in applications and proposals. Create narratives that are accurate, technically responsive, and comply with submission requirements, scoring criteria and priorities. Review proposed grant budgets to ensure accuracy and alignment with proposals. Maintain proactive communication and relationships with Food Shuttle management, funding sources, government and community organizations. Promote good community relations and represent the Food Shuttle positively. Provide input into the annual budget process to highlight grant opportunities and funding likelihood. Liaise with the Finance team to ensure donor intent, grant parameters, spending and reporting timelines are communicated and monitored for compliance. Ensure funder requirements meet local, state and federal regulations. Present grant reports and findings to leadership and program leaders; collaborate with the Advancement team to respond to funding needs. Stay aware of best practices and maintain relevant professional standards. Assist with overseeing Grants Volunteer(s) and/or Intern(s) as applicable. Perform other duties as assigned. QUALIFICATIONS Bachelor’s Degree in a field related to English, Math, Communications or Behavioral Sciences and at least three years of grant writing with demonstrable results. Master’s Degree with progressive grant management experience preferred. Strong communication and persuasive writing skills with a track record in grant writing. Experience building relationships with funders and community partners. Federal grant experience is highly preferred. Highly organized with experience in grant research, administration and managing multiple grants. Experience preparing reports and making presentations to management and staff. Experience with compliance in government-funded work is a plus. KNOWLEDGE, SKILLS, and ABILITIES Apply state and federal laws, rules, and regulations to grants. Proficient with Windows, Outlook, Internet research, MS Teams, MS Office, Adobe, Donor Perfect (Development CRM), and advanced knowledge of Excel preferred. Advanced knowledge of grant program planning, budgeting related to grants, and evaluation of policy. Ability to work effectively with financial and non-financial grantees and Food Shuttle staff. Detail-oriented with strong organizational and project management skills; ability to develop project plans and meet deadlines. Ability to manage multiple tasks in a fast-paced environment.
