Position: Sales Catering Coordinator (Event Coordinator) at Concord Hospitality Enterprises

Overview

Work closely with the Director of Sales and Marketing to create sales promotions, organize proactive sales efforts and monitor incoming guest inquiries. Manage a high volume of events and sleeping room blocks on a daily, weekly, and monthly basis. Coordinate all aspects of guests\' hotel visits, generate group sleeping room resumes and banquet event orders, and collaborate with sales and operations teams to deliver stellar guest experiences and well-executed meetings and events.

Responsibilities

Serve as the point of contact for clients and communicate by phone and email to respond to questions and requests.

Recognize opportunities to maximize revenue by up-selling and offering enhancements to create outstanding guest satisfaction for hotel groups.

Assist the sales team with proposals, contracts, promotional materials, and presentations.

Negotiate contracts for small meetings; manage the client relationship from inquiry through planning, execution and follow-up.

Provide high levels of customer service to internal partners and external clients to deliver successful experiences for planners and attendees.

Respond promptly and professionally to all internal and external communications, representing Concord Hospitality in all channels.

Manage follow-up on inquiries for small meetings/events, gaining sales and event planning experience through hands-on client interactions.

Negotiate banquet event orders (BEOs); identify and price client needs, up-sell where possible, close the sale, and secure deposits and signatures.

Communicate group details/changes to all hotel departments, coordinating client needs with property operations to ensure smooth delivery.

Present potential business at sales meetings to determine the best mix of customers to meet budgeted revenues; conduct client meetings with hotel staff to ensure event success.

Finalize catering plans for groups and coordinate on-site execution; solve problems as needed to ensure guest satisfaction.

Develop best practices for prospecting new banquet business using various methods (phone, outside calls, trade shows, community events, internet prospecting, partnerships).

Monitor block space and sleeping room blocks; release blocked rooms at cut-off to maximize sales opportunities.

Assist the sales team with calendar management, document organization, and weekly tasks; communicate guest arrival details with relevant departments.

Gain knowledge of hotel F&B products, pricing, function space, AV, and related event details to support successful outcomes.

Other duties as assigned.

Qualifications

Excellent time management, self-motivation, and organizational skills.

Proficiency with computers (word processing, spreadsheets, internet, Outlook) and basic property management systems.

Exceptional communication skills via phone, email, and print.

Attention to detail; ability to multi-task in a fast-paced sales environment.

Strong collaboration with guests and internal hotel departments.
