Grants Accountant

The Grants Accountant supports pre- and post-award budget and management processes for grants, contracts and special funds under the supervision of the Assistant Vice President of Business Services and in coordination with the Executive Director of Strategic Initiatives. The position applies generally accepted accounting principles and serves as a college-wide resource for general ledger and budget system issues, assisting Grant Program Managers with grant accounting, and working with the Grants Manager to monitor federal and other large college-wide grants. Minimum Qualifications
Bachelor’s Degree in Accounting, Finance or related field and five years of accounting experience or equivalent education and experience. Workday proficiency preferred. Knowledge of acceptable accounting principles; process and budget management; grants knowledge; strong written, verbal, analytical, and organizational skills; experience with Microsoft Office, especially Excel. Responsibilities
Assist in grant management for pre- and post-awards including establishment of accounts in the financial accounting system, ensuring budgets are set up properly, understanding allowable costs, fulfilling cost-sharing requirements, and re-budgeting funds when necessary. Support the Strategic Initiatives Department and Grant Program Managers with budget and finance reporting, analysis, and compliance; create effective support tools as needed. Provide technical assistance with preparation of the College’s annual budget for Sponsored Funds; work with Grant Managers to ensure understanding of the college-wide budgeting process. Serve as the Accountant for designated federal and other large college-wide grants as needed; coordinate with the Grant Manager to monitor reasonableness, compliance with grant rules, appropriate spending, and application of college policies; improve organizational effectiveness, quality, and internal controls for grant programs. Monitor expenditures with the Grant Manager to ensure allowability within grant terms, verify funds sufficiency, appropriate authorization, subcontract activity, etc. Review and approve all grant-related payroll activity; prepare adjusting journal entries as needed. Support the Grant Manager in monthly grant reconciliation using internal records in Excel, the Workday Grants Module, and the Workday General Ledger; process adjusting journal entries and escalate issues as needed. Prepare quarterly, annual, and closeout reports for funding agencies; provide support as requested. Assist with closing grants in Workday when applicable. Accurately prepare the annual Schedule of Expenditures of Federal Awards in compliance with annual audit requirements. Develop and execute grant training for budgeting of grants, contracts and special funds; maintain the grant chapter of the Purchasing Handbook to ensure sound financial practices. Provide effective customer service to grant program managers and accounting staff in support of the college’s mission, vision, and values. Complete invoicing and/or receiving for grant payments and record deposits in the General Ledger to reflect accurate financial records. Compile and analyze data from the College’s accounting system to aid in the preparation of statements and reports. Submit the online EZ Audit annually through the Department of Education website. Participate in preparation of materials and support for annual Single Audits. Perform general accounting duties for the Business Services unit, including creation of general ledger entries, corrections and interdepartmental charges; reconcile accounts; resolve system issues; invoice and/or receive funds. Collaborate on college-wide training to increase literacy among grant program managers and staff, ensuring sustainable and compliant practices. Engage in professional development and sector-wide learning opportunities in grants accounting and compliance to bring back innovative practices to CMC. Performs other duties as assigned. This position reports to the Assistant Vice President of Business Services. It may serve as a lead to other team members. Successful completion of a background check including motor vehicle records check will be required. The position adheres to safety and compliance policies of Colorado Mountain College. Working Conditions
This position requires constant sitting, occasional walking, standing and driving; occasional handling of objects, pushing/pulling; frequent reaching with hands/arms and use of finger movements; occasional lifting up to 50 lbs; constant written and oral communication and the ability to reason and analyze; work is performed using a computer and standard office equipment daily, with occasional vehicle use.
