The Opportunity
- Provide administrative support to members of the management team, ensuring daily operation of the front office, planning, organizing and scheduling events, meetings, presentations, and customer/vendor visits.
- Support the accounting team with daily invoicing, job close‑outs and accounts payable duties, and maintain office inventories and 5S.
- Monitor front‑door and phone system, track office supplies inventory, order as needed.
- Act as liaison with other departments, facilities, customers and vendors; assist GM and other management members with administrative tasks.
- Complete customer invoicing daily and review, correct and close production jobs.
- Assist with month‑end closing and maintain front office 5S compliance.
- Receive and distribute package deliveries, generate and distribute reports, attend meetings, and train to back‑up team members.
- Perform other assigned duties.
What You Need To Succeed
- High school diploma or G.E.D.; minimum one year, preferred two years of relevant experience.
- Strong written and verbal communication with ability to read and interpret safety rules, procedural manuals and production reports.
- Intermediate computer skills (email, database, Word, Excel, PowerPoint, AS/400, Schedule Assistant, JDE).
- Good attendance and reliability; willingness to work overtime as needed.
- Ability to maintain confidentiality of all information.
- Self‑directed, can work independently and as part of a team; capable of performing essential functions with or without reasonable accommodation.
