Anticipated Hiring Range : $55,332 - $71,580 annually

Work Hours : Monday - Friday, 8am - 5pm, unless otherwise notified.

Department Overview The Special Collections and Archives unit of the University Library collects, organizes, and preserves Cal Poly Pomona's rare books and archival collections. It serves researchers from the university and the general community, promoting learning and scholarship.

Duties & Responsibilities

Manage digital collections, including descriptive and technical metadata (Dublin Core, EAD, etc.).

Ingest and organize digital assets in systems such as ArchivesSpace, Preservica, and Alma/Primo.

Develop protocols for long‑term digital preservation and access.

Ensure copyright and intellectual property considerations when creating, sharing, or disseminating digital content.

Lead accession, preservation, and access to born‑digital archival materials.

Coordinate with donors and internal stakeholders on transfer and documentation of digital content.

Oversee workflow and metadata requirements for SC&A digital collections, ensuring standards for digital access platforms.

Consult with the University Archivist to develop workflows for digital formats (email, photos, video, audio, institutional records).

Coordinate digital access projects, including identifying and prioritizing materials for digitization.

Collaborate with the Library Technology Services Operations Coordinator on digitization workflows and scanning schedules.

Maintain and update SC&A unit web pages for accurate, timely, and user‑friendly access.

Provide day‑to‑day supervision and training for student and intern staff on digital tools and content management.

Recruit, interview, onboard, and train student employees.

Monitor student schedules, project assignments, and budget compliance.

Maintain reader services, including answering research questions, handling registrations, and managing reading room protocols.

Support outreach, public events, and social media content creation for SC&A initiatives.

Assist in grant writing and exhibition design related to special collections.

Act as backup support for other SC&A staff to maintain service levels.

Qualifications

High School Diploma/GED or equivalent.

Driver's license (valid in California).

Five to six years of related library or clerical experience.

Comprehensive knowledge of library operations and collection management.

Expertise in automated and online catalog systems and database maintenance.

Strong understanding of copyright, intellectual property, and ethical access policies.

Experience with digital preservation, metadata standards (EAD, Dublin Core), and digital asset management.

Proficiency in ArchivesSpace, Preservica, Alma/Primo or comparable systems.

Ability to analyze data for long‑range planning and budgeting.

Leadership experience supervising student or staff teams.

Preferred Qualifications

University degree in archives, library science, or related field with coursework in archival theory and practice.

Two years of successful experience in a special collections or archival department.

Knowledge of archival processing, arrangement, and description.

Proficiency in finding aid creation and use of MARC, EAD, Dublin Core, and digital preservation tools such as Preservica.

Experience with oral history interviews, electronic records management, and institutional archives.

Strong public service orientation and communication skills.
