Role Summary
The Ohio State University College of Dentistry seeks an Administrative Assistant to provide comprehensive support to its Division of Pediatric Dentistry, the Chair and the Predoctoral Program Director of Pediatric Dentistry. This role involves coordinating schedules, managing communication, preparing documents, and supporting special projects for faculty members, staff, and students in the division.
Responsibilities
- Interact with staff and faculty in a fast‑paced environment, remaining flexible, proactive, and efficient.
- Handle routine and non‑routine administrative duties based on established policies and procedures.
- Manage the daily operations and dental assistants of the Pediatric Dentistry clinic.
- Serve as a resource on business processes and system use.
- Provide day‑to‑day administrative support to the division, including calendar management, travel arrangements, itinerary planning, and attendee confirmations.
- Assist in planning and organizing division‑specific events, meetings, and conferences, including logistics, speaker series, travel, itineraries, catering, and materials preparation.
- Attend meetings with senior leadership to assist with documentation and ensure compliance with sensitive patient information.
- Maintain division files and library.
- Manage expenses, payables, and procurement systems for the Division of Pediatric Dentistry.
- Monitor budgets and prepare reports for audit.
- Reconcile division financial statements.
- Maintain relationships with support staff across the College to facilitate workflow continuity.
- Provide administrative support for clinical research studies.
- Supervise clinical and office staff.
- Coordinate workload, approve time and leave, hire, train, and evaluate clinical and office staff.
- Maintain didactic and clinical course records and documentation.
- Communicate with faculty, residents, students, and staff regarding inter‑operations between Ohio State and Nationwide Children’s Hospital.
Qualifications
- High School diploma with 2 years’ experience in a medical or dental setting.
- Ability to manage multiple projects, priorities, and deadlines while maintaining a positive, service‑oriented outlook.
- Strong grammar, editing, time management, and organizational skills.
- Proactive, self‑starter, and creative thinker.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with IHIS preferred.
- Associate degree and 4–6 years of experience supporting faculty, students, and staff is desirable.
Additional Information
- Targeted hiring pay range: $21.35–$27.88 per hour.
- Work schedule: Monday – Friday, 7:30 am to 4:30 pm.
- Required: Background check and alcohol and drug screening.
- Position type: Regular; Scheduled hours: 40; Shift: First Shift.
- Location: Postle Hall (0024).
