Purchasing Specialist
Newark, NJ (Onsite – Full Time)

We’re seeking a detailed, proactive Indirect Purchaser to manage non-production purchasing needs across all departments. You’ll be responsible for sourcing, ordering, and tracking internal supplies and services — ranging from office materials and facility tools to equipment, food, and maintenance items. This role aims to ensure purchasing is efficient, cost-effective, and aligned with company standards while maintaining strong vendor relationships and supporting cross-department collaboration.
Responsibilities
Procurement & Purchasing Manage all internal purchasing requests, ensuring timely fulfillment of company needs. Research, prepare, and process purchase orders for a wide range of items including office supplies, facility tools, equipment, food, and maintenance services. Identify and qualify vendors based on cost, quality, reliability, and delivery performance. Track orders and deliveries to confirm timely receipt and proper documentation.
Inventory & Cost Control Monitor internal stock levels and anticipate upcoming purchasing needs. Support cost optimization through vendor negotiation and strategic purchasing. Maintain accurate records of all purchases, pricing, and vendor contracts.
Vendor Management & Communication Build and maintain positive relationships with suppliers and service providers. Manage vendor communication, follow-ups, and issue resolution. Evaluate supplier performance and recommend improvements or alternatives.
Communication & Compliance Collaborate with internal teams to understand purchasing priorities and timelines. Ensure all purchasing activities comply with company policies and procurement standards. Assist in streamlining workflows and improving overall procurement efficiency.
Requirements
Proven experience handling purchasing or procurement responsibilities (manufacturing or large-scale facility experience preferred).
Excellent communication, organizational, and interpersonal skills.
Familiarity with supply chain operations, inventory management, and vendor relations.
Proficiency in MS Office and purchasing or ERP software.
Strong attention to detail, multitasking ability, and ownership mindset.
Tech-savvy and comfortable working in a fast-paced environment.
