General Statement of Duties Acting under general supervision, the Judicial Specialist 2 prepares and processes court documents, performs judicial procedures, and works with the court case management system.

Examples of Job Duties

Use the case management system to open, docket, and close cases based on judgement details.

Provide high‑volume customer service to pro‑se litigants with general procedural information without giving legal advice.

Open cases – determine case type/cause of action, assess receipts and filing fees; docket cases – review documents, enter event codes, scan documents, and link related scanned images; close cases – determine and enter closing events, disposition type, and judgement details.

Assess, record, and reconcile monies, prepare bank deposits, and follow cash‑handling procedures.

Process, maintain, and distribute documents, files, and case materials.

Electronic filing review for format, signatures, event code, and filing fees.

Process and expedite orders of protection, bond payments, and bond reports.

Reconcile billing and invoices from contracted vendors for Specialty Court Programs.

Prepare, proofread, edit, and mail documents such as notices and final orders.

Execute case hearings (orders to show cause, bench warrants, recusals, excusals, pleadings, rule extensions).

Maintain cash till, ensure accurate assessment, payment, receipt, and recording of court fees.

Provide public case information to parties, attorneys, law‑enforcement agencies, and third‑party agencies.

Order, review, sort, and organize jury summons; prepare alpha lists, random lists, voir‑dire sheets, and seating charts for jury trials.

Organize case files for microfilming, archiving, and destruction; prepare exhibits and hard‑copy case files.

Research automated, hard‑copy, and microfiche files for case status data.

Certify and prepare court records, tapes, logs, and exhibits for appellate cases.

Ensure the office, courtrooms, and equipment are operational; maintain judicial calendars.

Serve as a court monitor.

Perform clerical and technical duties involved in case processing, file maintenance, jury management, and the conduct of clerical court business.

Manage jury trial calendar requests for judges.

Advise internal staff on jury procedures, juror reporting, and trial updates.

May serve as a courtroom clerk, producing Instant J&S, obtaining signatures from parties, counsel, judges, and distributing documents.

Provide support to other magistrate or district courts within the judicial district.

Conduct prospective juror instructions and provide online forms as needed.

Answer phone calls, address incoming/outgoing correspondence, maintain office supplies.

Coordinate program participation with Specialty Programs within the Court.

Accept, maintain, and file court exhibits, including hazardous items.

Gather, deliver, and file recordings; maintain accurate record‑keeping for exhibits.

Troubleshoot recording equipment, update, and maintain technical logs.

Retain case material and logs for identification and evidence safeguards.

Act as liaison between court personnel, litigants, or attorneys to advance proceedings.

Other duties as assigned.

Competencies/Qualifications The successful applicant should demonstrate knowledge of legal terminology, jury service, filing methods, case processing, Specialty Court Programs, research methodology, project management, court‑fee accounting, court monitoring, Court Clerk’s Procedures Manual and Code of Ethics, language access policies, interpreting line access, and general judiciary structure.

Work Environment and Physical Demands

Work performed in an office or court setting; valid driver’s license and travel may be required.

Will have overtime; must interact positively with co‑workers, clients, judges, and the public.

Qualifications

Education:

High school diploma or GED.

Experience:

2 years of court case processing, legal secretarial or related field (advanced customer service, data processing, banking/financial experience).

Experience Substitution:

Additional post‑secondary education up to 1 year; 30 semester hours equal 1 year of experience.

Typing Certification:

NM Department of Workforce Solutions or similar; score ≥ 35 net words per minute; certification issued within 5 years.

Certification:

May be required to complete NM Court Monitor Certification Examination.
