The Opportunity We’re seeking a Customer & Supply Chain Support Specialist to coordinate and execute core operational activities while serving as the main operational point of contact for customers.
This is a hands-on role covering customer communication, order management, invoicing, logistics coordination, inventory control, and purchasing. You will oversee the entire order cycle, ensuring smooth processing and clear communication from the initial customer request through final delivery.
You will also collaborate closely with our technical service team to anticipate spare part needs and align stock levels with service priorities—ensuring smooth coordination between customer operations and service.
This is a full-time onsite position in Alexandria, VA, with some flexibility once you are fully onboarded.
Key Qualifications
1–3 years of experience in operations, logistics, supply chain, administration, or customer support.
Strong organizational skills and attention to detail; ability to manage multiple priorities.
Comfortable working with QuickBooks or similar business systems.
Excellent written and verbal communication skills with a professional, customer-facing approach.
Scientific or technical background—or prior experience in biotech, diagnostics, or laboratory instrumentation—is a strong plus.
Proactive mindset with the ability to anticipate operational needs and take ownership.
Full-time availability in Alexandria, VA (onsite), especially during onboarding.
What You’ll Do Order Processing & Customer Communication
Act as a reliable operational point of contact for customers throughout the order cycle.
Receive and respond to customer requests, prepare and send quotes, and provide accurate information on product availability and lead times.
Manage the end-to-end order process—from quote and order entry to invoicing and shipment coordination.
Communicate proactively with customers regarding order status, shipping timelines, and required documentation.
Coordinate with internal teams and suppliers to ensure smooth and timely deliveries.
Inventory & Supply Chain Management
Monitor inventory levels and maintain accurate stock records in the system.
Collaborate with the technical service team to understand spare parts requirements and align stock with service needs.
Anticipate replenishment needs and coordinate purchasing with our HQ in Barcelona.
Plan and coordinate stock availability in advance to support upcoming orders and minimize last-minute issues.
Contribute to improving supply chain and inventory processes as operations grow.
Systems & Administration
Set up and maintain product, pricing, and SKU data in QuickBooks.
Manage the order-to-invoice cycle, including issuing invoices and processing vendor bills and expenses.
Keep operational and financial records organized, accurate, and up to date to support daily activities and reporting.
Compensation & Benefits
$50,000 – $60,000 per year, depending on experience and qualifications.
