Description: This position is responsible for assisting the general operations of the facility through clerical and operational tasks.
Essential Functions
Flight coordination support
- Access various airline portals to pull preliminary and final flight information at the appropriate time periods, in accordance with flight schedules. Distribute to all operational departments on a daily basis.
- Access various airline portals to pull packing diagrams in accordance with flight schedules and configurations. Organize and distribute diagrams daily to support ease of operations.
- Monitor customer communication and dispatch to catering operations accordingly.
- Access various airline portals to record catering operational metrics.
Accounting support
- Compile all flight check sheets and driver logs and reconcile for billing purposes.
- Detail all deviations from established check sheets—additional orders placed by airline customers, cancelled flights that remain subject to billing etc.
- Record billables through established process to ensure accurate sales captures for the facility.
General clerical duties
- Act as first point of contact for incoming visitors, administering the visitor check in procedure.
- Answer incoming phone calls to the facility main office. Dispatch calls appropriately and/or record messages.
- Process incoming and outgoing mail for facility including coordinating cargo shipments.
- General copying and filing of operational documents.
- Oversee and maintain office supplies through established purchase order procedure.
Additional support duties
- Assist with preparation of regulatory and customer audits.
- Assist with preparation and facilitation of employee functions, department trainings/conferences, and safety initiatives.
- Perform other administrative duties and projects as assigned.
- Occasionally assist with production as needed.
Skills and Qualifications
- Minimum of 1 year of related experience performing clerical and administrative functions.
- Strong preference for strong working knowledge office systems including Microsoft Office products such as Outlook, Excel, and Word; strong ability to learn airline catering management programs.
- Must be able to obtain an AOA SIDA (airport security) badge including clearing a federal background check and providing verification of identity.
- Ability to work independently with high output and strong initiative.
- Must maintain high standards of confidentiality.
- Strong communication skills both verbally and non-verbally.
- Customer service skills including the ability to decipher needs, accurately communicate needs and support kitchen response.
Supervisory Responsibility
This position has non-supervisory responsibilities.
Work Environment
This job operates in a manufacturing office environment setting with varying temperatures. This job may occasionally work in freezer temperature-controlled environments to support production as needed.

Position Type/Expected Hours of Work
This is a full-time, non-exempt position. Days and hours of work may vary depending on the needs of the business. Must be willing to work any shift or days off as leadership assigns.
