Client Services Coordinator

About The Role Stouffer Legal is seeking a reliable, friendly, and detail‑oriented Client Services Coordinator to join our growing team. This phone‑based role involves answering inbound calls, returning messages, scheduling appointments, and assisting clients with service‑related questions. The ideal candidate is confident on the phone, calm under pressure, and comfortable meeting clear call performance expectations.
You will also support the front desk, assist with attorney meetings, and handle light administrative tasks. Deliver a five‑star hospitality experience over the phone and in person when needed.
Key Responsibilities
Greet and seat clients, offer refreshments, and create a warm office environment.
Prepare materials for attorney meetings (folders, design packets, invoices).
Assist with payments, appointment rescheduling, and conference room readiness.
Provide backup coverage for the Front Office Coordinator when needed.
Answer inbound calls and make outbound follow‑ups with professionalism and empathy.
Assist clients with questions, appointment scheduling, and service‑related concerns.
Accurately log client interactions in our CRM and follow up on open issues.
Meet call performance expectations (response time, call quality, resolution).
Support in‑meeting assistance (documents, lunch, refreshments).
Scan, upload, and organize client documents in the CRM system.
Coordinate with attorneys and client services team to resolve client needs.
Support data accuracy and handle confidential information with discretion.
Sanitize conference rooms, wash dishes, and tidy shared spaces.
Provide in‑person support at Gaithersburg, Annapolis, or Towson locations when Front Office Coordinator is out.
What We’re Looking For
Previous customer service experience (office or hospitality setting preferred).
Comfortable managing high call volume and client‑facing interactions.
Strong organizational and multitasking skills.
Professional, warm communication style.
Tech‑savvy with experience using CRM software, printers/scanners, and phone systems.
Flexible, team‑oriented, and comfortable in a dynamic law firm environment.
Tools & Systems You'll Use
CRM software, Microsoft Teams, Outlook, scanners/printers, RingCentral.
Benefits
Annual salary $45,000.00 – $56,000.00.
Performance‑based bonus structure.
Pay day twice a month on the 7th and 21st.
Eligible for benefits upon start date.
Health Insurance (CareFirst) with 50% company contribution.
Dental and Vision Insurance.
Short‑term and Long‑term Disability Insurance fully paid by the company.
Group‑Term Life Insurance fully paid by the company.
401(k) contribution with up to 4% match, no vesting period.
