Department Overview The GBH Royalty Department, part of Legal and Business Affairs, is responsible for contractually required reporting and payment revenue shares to talent union members, co‑producers, funders, and other rights holders. This requires collaboration with members of GBH's Accounting, Legal / Rights, Project Finance, and production units, in addition to GBH's distributor, PBS Distribution, to ensure accurate reporting of GBH content distribution and timely payment to the correct parties. By reporting and paying royalties accurately and timely, the GBH Royalty Department maintains trust among the GBH creative community and contributes to GBH’s compliance with thousands of contractual obligations.

Job Overview The Royalty Assistant ensures smooth daily operation of the Royalties Department by providing administrative and financial processing support, with a focus on communication with royalty recipients and internal financial processes. The Royalty Assistant is an integral part of the team that prepares and reviews royalty statements based on contractual terms and financial data. The Royalty Assistant ensures that reports are accurately disseminated with accompanying payments to hundreds of royalty recipients each calendar quarter.

Responsibilities

Traffic‑management of royalty statements and payments due to royalty recipients.

Process royalty payments: financial system processes, royalty report distribution, data entry, archiving, and filing.

Communicate in a clear and respectful manner with royalty recipients and colleagues at GBH.

Utilize internal and external resources to locate, connect with, and enroll in GBH systems “missing” royalty recipients.

Facilitate updates and changes of payor and payee information in GBH systems and files.

Maintain department files, including expansion, archiving, and digitization.

Work with royalty team to prepare and/or inspect large amounts of data.

Skill Set

The ideal candidate will be highly organized, detail‑oriented, efficient, and adaptable to shifts in daily priorities.

Advanced proficiency in MS Excel is required.

Experience with Workday, FileMaker Pro, and/or other relational databases is a plus.

Good written and verbal communication skills are required.

Education and Experience

1‑3 years’ experience in an office setting is required.

Bachelor's degree or equivalent work experience required.

Job Specifics

Staff Position.

Hybrid position with a minimum of two days in person per week.

Lifting of boxes up to 15 lbs. might be requested (but not required).
