Overview: The Payroll Specialist is responsible for ensuring the accuracy and integrity of the full-cycle payroll process and payroll system administration. This role manages payrolls for all employees across multiple states, ensuring pay is processed timely, accurately, and in compliance with all applicable regulations. In addition, the Payroll Specialist maintains employee records, supports employment and compensation processes, and prepares payroll-related reporting. This position also oversees payroll system administration and ensures compliance across all companies.
Role and Responsibilities
Processes and manages payrolls for all employees in a timely and accurate manner, including data entry, time and attendance, reconciliations, payroll transmission, report validation, payroll deductions, manual checks, new hires, terminations, and benefit-related changes Maintains accurate employee records within the payroll system, ensuring data integrity, up-to-date reporting structures, confidentiality, compliance with record retention, and adherence to federal and state regulations Administers and ensures compliance for employee benefit plan deductions, including health, dental, vision, life, disability, retirement, flexible spending, and voluntary benefits Conducts regular audits of payroll records, employee information, and system reports to ensure data accuracy and compliance Identifies and implements process improvements to enhance workflow, reduce errors, eliminate inefficiencies, and standardize payroll and administrative procedures Ensures compliance with company employment policies and applicable federal, state, and local regulations related to payroll and benefits administration Prepares and manages year-end payroll and benefits reporting accurately and on time Develops and maintains financial and operational reports as needed Responds to employee inquiries and resolve payroll-related issues promptly and professionally Prepares for and participates in audits, including serving as point of contact for auditors, coordinating schedules, preparing reports, and supporting corrective action plans as needed Performs additional duties as assigned Qualifications
Education
Bachelor’s degree preferred Human Resources or Accounting and/or equivalent combination of education and experience with an emphasis in Payroll and Benefits Administration and Payroll Certified Payroll Professional (CPP), preferred Experience
3-5 years of payroll processing and benefit administration experience Multi-state payroll including federal and state payroll knowledge preferred Experience with one or more HR Payroll systems Previous experience working within the Marine Transportation industry a plus Knowledge, Skills, and Abilities
