Overview
Administrative Assistant Needed in Westlake. Responsibilities
Provide administrative support such as making copies, preparing labels, envelopes and mail slips for USPS and FedEx. Greet visitors and direct them to the appropriate department. Answer phones using a multi-line phone system and courteously assist clients. Prepare bank deposits. Type and prepare monthly invoices for mailing to clients. Assist with ordering office supplies and maintain supply inventory. Schedule shred bin pickup. Maintain vendor files. Maintain log in and log out Excel sheet. Maintain client billing on Excel sheet. Assist clients with logging and signing tax forms. Send reminders to clients for signatures and electronic filing of tax returns. Verify tax returns have been successfully electronically filed and accepted. Scan completed tax returns and properly save them into the database. Assist with billing, mailing out invoices and sending reminders. Put invoices in alphabetical order to be scanned individually into various programs. Handle credit card payments in person and over the phone. Pay firms bills using QuickBooks. Reconcile monthly bank statements for firm. Bank deposits when required. Other duties as assigned. Qualifications
HS Diploma. 2+ yrs of exp in an administrative or clerical role. Proficient in MS Office. Strong organizational skills. Good communication skills, both written and verbal.
