The Executive Assistant provides administrative support to the executive level and coordinates all administrative activities of the office. The role also supports the department in administration, personnel, and call coverage. Responsibilities include maintaining the supervisor's calendar, screening calls, scheduling meetings, taking minutes, arranging travel, typing correspondence, and handling related duties as required. The assistant coordinates HR, payroll functions and assists with departmental budgetary considerations.

Duties and Responsibilities

Maintains calendar, schedules appointments and meetings, and arranges meeting rooms, contacts attendees, facilitates attendance, and ensures that required materials and equipment are provided.

Types correspondence, memoranda, and reports from rough drafts; composes and distributes meeting minutes and communications; ensures spelling, punctuation and grammar accuracy.

Establishes and maintains filing system and database records for the office; keeps distribution lists current and up to date.

Prepares slides and charts, researches, gathers, sorts, compiles, and coordinates information from files, other departments, and outside agencies for special reports and presentations.

Reviews financial, business and related reports, edits for errors, and notes variations for supervisor action.

Coordinates projects, including task completion management, setting deadlines, monitoring budgets, maintaining timelines and deliverables.

Coordinates travel arrangements, manages reservations, processes reimbursement through Concur, orders office supplies, and plans catering for meetings.

Responsible for Kronos time‑keeping records; provides payroll and HR administrative support such as paycheck pick‑up and check distribution.

Maintains Gemba Prep/Board as needed.

Qualifications Education:

High school diploma/GED required. Associate's degree/college degree in Business, Accounting, Computer Operations & Applications preferred.

Experience:

Four (4) years of progressive responsibility in office administration with a background in customer service required. Three (3) years of experience at the President's office, providing comprehensive support at the C‑suite level required.
